**JOB TITLE: MANAGEMENT SUPPORT OFFICER (FINANCE/STUDENTS)**
**REPORTS TO: Team Leader**
**HOURS: 37 hours**
**Job Summary**
The Management Support Officer (Finance/Students) will ensure that the Practice operates in a profitable and cost-effective manner in keeping with the financial aspirations of the Partners.
In addition they will provide general administrative and organisational support to the Practice’s commitments to Education and Students.
**Responsibilities**:
The operational responsibilities of the post holder can be split into financial responsibilities and responsibility for students:
**Operational Responsibilities: Finance**
- Maintain the practice accounts.
- Liaise with outside agencies and completion of appropriate tasks within required timescales.
- Maintain and reconcile PCN income and services.
- Monitor and report on non-NHS income regularly.
- Ensure systems are in place for invoicing and reconciliation of outstanding debts.
- Provide administrative support to the management team.
- Ensure an operational knowledge of the Human Resources and Education processes in order to deputise for the Management Support Officers for HR & Education.
**Operational Responsibilities: Students**
- Provide administrative support for all staff where required
- Provide administrative support and act as point of contact for medical students
- Co-ordinate and support work experience applicants.

- Alert other team members to issues of quality and risk.
- Assess own performance and take accountability for own actions, either directly or under supervision.
- Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team’s performance.

- Effectively manage own time, workload and resources.
**Contribution to the Implementation of Services**
- Discuss with other members of the team how the policies, standards and guidelines will affect own work.
- Understand the impact of employment legislation upon operations within the Practice.
- Carry out robust record keeping arrangements which are compliant with the practice retention policy.
- Provide an efficient administrative support service as required.
- Be conversant with and implement the Health and Safety at Work Act, Employment Law, The Data Protection Act and other legislation relative to the role.
- Be conversant with the CQC outcomes and ensure they are complied with
- Undertake any relevant training as required relating to organisational standards and changes to software or systems.
- Develop harmonious and effective relationships across all practice teams and with patients.
- Undertake effective professional development as necessary to keep up to date with current requirements and in line with Practice policy.
- Discuss with other members of the team how the policies, standards and guidelines will affect own work.
- Participate in audit where appropriate and produce reports as required.
**Infection Prevention & Control**

**WORKING CONDITIONS**
The post holder will be required to use VDU frequently, for prolonged periods of time.
The post holder will be required to wear the company uniform upon completion of the probationary period

**Vocational Qualifications**
**Essential**
5 GCSE’s or equivalent including maths and English
Recognised Microsoft Office Advanced Qualification (e.g. ECDL) or relevant experience.
Association of Accounting Technicians level 2 or above or relevant experience
**Experience**
**Essential**
Ability to interpret budgets and spreadsheets to aid financial planning and inform management decision making.
Experience of dealing with the public and professional organisations.
**Desirable**
Knowledge of Primary Care Education Strategy
Experience in payroll
Previous experience of accounting systems.
Minimum of 3 years either in an accounts office or as a mixture of accounts office and Practice experience.
