**Job Purpose**
To be responsible for ensuring an efficient administrative service for all key aspects of clinical practice elements of the Doctorate in Clinical Psychology course. The post holder will also take a leading role in monitoring and improving the administrative processes related to the academic programme elements. This role also involves offering professional advice and guidance to the programme, course leaders and academic teaching staff to enhance delivery and provide an effective service. The post holder will also be responsible for the development and support of activities related to modernisation of training delivery (e.g. supporting the increased use of technology enabled learning systems). To manage a team of PGT admin support staff.

**Main Duties and Responsibilities**
1. Proactively supporting the PGT Administrative Manager with day-to-day PGT administration tasks, leading on projects, such as continuous improvements to policies, processes and systems for the Doctorate in Clinical Psychology, and lead on the expansion of technology-led teaching and evaluation methods.
2. To lead on the day-to-day supervision and organisation of a team 2FTE PGT admin support staff, which will include reviewing and allocating work, support development and training opportunities and conducting annual performance reviews.
3. To enhance working collaborations with colleagues throughout the College and University Services to review, develop and implement best practices to enhance the service delivery.
4. To provide professional advice and guidance to staff and student on policies, procedures and practices as required. Work closely with colleagues to resolve student issues, liaising with University support teams and monitoring queries.
5. Manage procedural aspects of postgraduate administration, including ensuring the creation and maintenance of student documentation.
6. Input to, and where appropriate, co-ordination of, Graduate School responses to internal and external consultation documents.
7. To oversee the management and organisation of the student selection process and activities, (e.g., interviews; programme induction; updating programme and course Moodle sites).
8. Working proactively with key contacts within NHS Territorial health boards in the identification and co-ordination of clinical placements. This will involve maintaining data sets, enforcing the various systems for the identification and accreditation of clinical supervisors; managing the tracking and recording of clinical placement information.
9. To review and manage the information systems used to communicate key information concerning placements to all stakeholders e.g., (Clinical Practice Team. Local Area Tutors; student: supervisors; line managers; professional leads; and service managers.) This may also include managing team and individual diaries in the co
- ordination of organising meetings.
10. Plan, co-ordinate and track the required formative and summative assessment meetings that relate to placement progression.
11. Liaise directly with NES in the administration of TURAS Portfolio, the trainee clinical activity tracking system and set up relationships within the system, maintaining accuracy of data, interrogating the system and supporting future development of the system.
12. Interrogate student data to ensure accuracy of records and data reporting is maintained and liaise with central services (e.g. Registry, Finance) to ensure student records are correct. Make extensive use of MyCampus throughout the year to identify any issues or anomalies, including those relating to (e.g., tuition fees, financial aid).
13. Provide administrative support (clerk) to key committees including preparation and distribution of papers and issuing minutes and actions.
14. Work closely with the programme team and the Senior PGT Administrator to ensure that programmes adhere to the accreditation standards set out by British Psychological Society and the Standards of Education and Training stipulated by the Health and Care Professions Council. As well as overseeing the accreditation renewal process supporting Programme Leads to ensure completion of paperwork and meeting of strict deadlines.

A1 Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent.
A2 Understanding of the University structure in particular taught doctorate studies.
A3 Knowledge and understanding of the University structures, policy practices and procedures as they relate to taught doctorates.
A4 Knowledge of NHS structures and functions.

**Desirable**
B1 Extensive knowledge of relevant Quality Assurance practices.

**Skills**

**Essential**
C1 First class organisational skills and a proven ability to prioritise work efficiently and multi-task.
