As the Executive Assistant to the Directors and Deputy Directors puts you at the heart of the Team, meaning you will have a chance to build relationships with a wide range of people at all grades and stakeholders.

**Job description**:
The responsibilities of the role include:

- Proactively managing the diaries of the Director or Deputy Directors - resolving conflicting schedule requests and helping manage their time efficiently
- Arranging travel and overnight accommodation and managing expenses
- Co-ordinating internal and external meetings (including room booking, greeting and escorting of visitors, printing of agenda and meeting papers)
- Provide support to the Private Secretary, including the preparation of day packs and briefing
- Organising large staff events (both remote and in-person events, as applicable)
- Maintaining key business documents (org charts, induction packs, staff lists etc)
- Comprehensively briefing the DD on their diary and issues to be dealt with.

- Excellent organisational skills and an eye for detail - the role requires very frequent reprioritisation in reaction to short notice changes and requests and managing a variety of task
- Resilience to working in a pressurised, fast-paced environment, which requires high levels of personal organisation
- Confidence in working with the senior leadership team
- Ability to concisely summarise a wide range of information.
- A strong sense of initiative and self-motivation
- although the role sits within a team, the role requires responsibility of your own workload often needing to be set by yourself rather than your line manager.
- Ability to communicate and build effective working relationships with internal and external colleagues - you will be expected to make arrangements on behalf of and for senior members of the civil service, with professionalism and integrity.
