**Job summary**:
The award-winning Commercial Capability Programme was formed in 2014/15 to improve commercial capability across government. A new concept for government, we have developed a suite of capability services accessible to central government departments and wider government bodies. A Commercial Recruitment Hub has been created, offering a centralised recruitment service for departments to fill commercial vacancies, starting from Commercial Managers and progressing up to Senior Commercial Specialists.
This role will be based within the Business Operations Team, within the Commercial Capability Programme. Business Operations supports the 14 other teams in Commercial Capability in various ways, ensuring the smooth running of the Capability’s functions. We are a relatively new team, so there are plenty of opportunities to improve business performance and to be a part of progressive change within the team.
The post holder will be critical for overseeing accurate scheduling and timetabling of assessment participants and ensuring the smooth day-to-day running of the Assessment and Development Centre’s (ADC) events. They will need to be well organised, able to manage multiple events at various stages of delivery, and able to engage confidently with some of the most senior individuals across the governmental and commercial industries. As a facilitator, your main focus will be coordinating all aspects of the ADC day. You will also take an active role in the continual improvement of operations concerning the ADC.
You will work hybridly, and be based in one of several offices across the United Kingdom. Business Operations is a collaborative and flexible team, with colleagues always ready and willing to support their peers, even outside their day-to-day workstreams. Event Support Officers may be, from time to time, called upon to support delivery outside of the ADC, in areas such as Learning & Development Delivery, or Project Delivery.
**Job description**:
Event Support Officers are vital to ensure all ADC support activities are carried out efficiently and effectively with a strong customer-service focus, ensuring that all ADC events run to the very highest of standards. You will proactively collaborate with your fellow Event Support Officers to ensure that upcoming assessments are fully prepared for. You will problem solve, and take initiative to anticipate and mitigate for any challenges or obstacles to a positive participant experience.
Responsibilities include, but are not limited to:
- Ensuring all participants are booked onto the correct assessment events and have received correct joining instructions in a timely manner
- Issuing participants with pre-assessment preparation material and clear instructions to book onto pre-assessment briefing calls
- Liaising with the assessment team to communicate any conflicts of interests, participants re-sitting the assessment centre, and/or requests for reasonable adjustments
- Ensuring all assessments have been timetabled promptly, accounting for conflicts of interest and reasonable adjustments
- Ensuring all assessors, moderators and participants are issued with correct timetables, and that any updated timetables are issued in a timely and clear manner
- Welcoming participants and delivering a morning briefing and outline of the day (in some cases to very senior staff)
- Welcoming assessors and ensuring they are equipped with all the information and materials necessary to assess
- Being on hand throughout the Assessment Centre to answer any questions from participants or assessors alike, and to troubleshoot any technical issues which may arise
- Monitoring the teams’ shared mailboxes, triaging, responding to, and actioning queries from external participants and internal colleagues in a timely manner while keeping to internal SLAs (Service Level Agreements)
- Supporting training managers and moderators when necessary
- Collaborating with other teams within Commercial Capability, such as GCO Recruitment or our L&D Teams, to ensure an efficient and effective approach to sourcing participants
- Proactively engaging with, and sometimes leading on, continuous improvement projects within the Event Support Officer workstream, identifying and addressing areas which can be made more efficient, more streamlined, or more cost effective
