**Job Purpose**

This critical role is here to support EMA Training Limited to give an independent view on our risk management, governance, compliance, and control processes and to make sure we are operating effectively.

You will have the ability to demonstrate being proactive, organised, and flexible. The primary function of this role is to support the admin processes within the team.

Duties will include data input and analysis, preparation and processing of key funding and quality information and coordination of the Quality and Compliance calendar. Liaison with apprentices, learners and employers as well as multiple departments across EMA training are also a key part of ensuring the department runs smoothly and meets all funding and quality requirements.

This is a split role working between the Quality and Compliance Manager and the Lead Internal Quality Assurer.

Line management of the role will be undertaken by the Quality and Compliance Manager.

**Main Responsibilities**

As the Quality and Compliance Administrator your role is challenging and diverse and involves:

- Collation, preparation, and distribution of key funding documentation, including liaison with the Recruitment and Sales Teams and Welcome Advisor to ensure all information is correct
- Data input using the PICs information management system
- Assisting with quality and compliance audits
- Analysis of data
- Compiling information for reviews/reports for management and board meetings
- Assisting with internal and external quality surveys
- Ensuring that key information/documentation for both quality and compliance purposes is correct and retained to meet internal and external regulations including ESFA, OFSTED and awarding organisations
- Registering and booking End Point Assessments using the SEPA platform
- Coordination of the Quality and Compliance calendar to ensure events are booked and all relevant parties notified
- Coordinating Health and Safety assessment visits and collation of Employer Liability certificates
- Liaising with the Functional Skills Tutor, mentors and our partner organisation to coordinate and book Functional Skills exams
- Liaison with EMA departments, including the Marketing department to support the preparation of policies/procedures/SOPs
- Supporting the Welcome Advisor with Onefile Setup and Inductions as and when necessary
- Supporting the team with other duties as and when required

KPIs
- Health and safety assessments for existing employers planned the month prior to due date
- PICS system updated with any changes 24 hours prior to ILR return due date
- Accuracy rates of 95% for data input
- Reports to be prepared 24 hours prior to meeting date
- Meeting the dates for the distribution and collation of survey data
- Monthly registration of apprentices on SEPA within a week of ILR submission
- Timely booking of EPA and Functional Skills exams to meet internal and external requirements
- Events to be booked by close of play on the next working day

**Required Skills and Personal Qualities**

**Essential: -**
- High attention to detail.
- Computer literate with experience of Microsoft office.
- Accuracy and ability to follow instructions.
- Ability to carry out basic analysis on information.

**Desirable: -**
- Knowledge of funding rules for apprentices and other learning programmes

**Further Information**
- This is an office-based role in our Derby Hub, with opportunities to work from either our Nottingham Hub or home.
- Progression opportunity to work towards a more senior role, dependant on achievement of KPIs and appraisal performance

**Job Types**: Full-time, Part-time
Part-time hours: 20 per week

**Salary**: From £10.00 per hour
