We are seeking an organised and driven individual to carry out the administration requirements of our Permanent Projects Team. The Project Administrator role is wide and varied, providing administrative support in many diverse ways to the Head of Projects and wider Project team working on projects both in the UK and internationally.
**Responsibilities**:
The Project Administrator role is key within the Projects PI (Permanent Installations) team, which acts as the external face and internal hub for project delivery by the UK business. Typical projects are between £150,000 and £15,000,000 in value and may be delivered anywhere around the globe.
- Coordinate travel and hotel bookings with the office administrator, ensuring that everything is booked and confirmed.
- Responsible for ensuring that documentation in/out of the business follows the correct procedures when sending documents electronically.
- Have in-depth knowledge of company document filing, handling and procedures for document control.
- Co-ordinate documentation sent between internal stakeholders and clients, including helping prepare technical submittals to clients.
- Manage documents held on client systems.
- Update project schedules and report arising issues.
- Produce a standardised packing list and ensure that it is used for all equipment sent out to sites
- Assist in the tracking/monitoring of invoices
- Support in tracking/monitoring of project expenditure
- Help prepare project reports and compile project financial data.
- Organise UK deliveries.
- Liaise with other departments in order to assist in the execution of projects.
- Handle telephone queries.
- Book and organise meetings, take minutes and distribute actions.
- Raising purchase orders.
- Co-ordinate freelancers' administration

- Able to attend some meetings out of normal office hours.
- Strong record-keeping skills
