**Job Title**: Patient Services Coordinator - Level 1

**Location**: The Wooda Surgery

**Hours**: 21.5 hours per week, 12 month fixed term contract and 24.5 hours per week, Maternity cover temporary contract

**Job Purpose**

To provide a focal point of contact and to communicate between patients, all members of the practice team and outside agencies in a busy practice, whilst actively contributing to the achievement of practice objectives and ensuring relevant CQC standards are maintained.

**Reception Duties**
- Reception of visitors and patients for doctors, nurses and other healthcare professionals
- Booking appointments for clinicians based at the practice following current protocol
- Utilise the computer to ensure efficiency of the appointment system and monitor the flow of patients into the consulting and treatment rooms
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, ensuring procedures are completed
- Advise patients of relevant charges for private services, accept payment and issue receipts
- Deal with messages both verbal and written
- Promote patient services including internet access to the practice and the SMS reminder service.
- Keep the reception area and general office tidy and tidy play waiting room between surgeries
- Document additional communication needs for patients and ensure communication is appropriate for individuals where relevant.
- A willingness to develop and expand core knowledge on all aspects of IT through both in-house and external training

**Management of Appointment System**
- Ensure total familiarity with all appointment systems in effect, including regular and incidental variations
- Carry out basic triage of appointment requests and signpost to appropriate clinician / service
- Offer, deliver and develop accessible and appropriate healthcare
- Monitor effectiveness of the system and report any problems or variations required

**Operation of the Telephone System**
- Ensure that the system is operational.
- Receive and make calls as required. Divert calls as appropriate
- Take messages and record them according to the protocol. Action where necessary
- Deal with requests for home visits in line with the practice’s visiting policy

**Management of medical records**
- Pro-actively participate in gathering and recording health information
- Undertake work relating to the achievement of quality indicators and enhanced services in the GP contract, including the ‘flu vaccination programme
- Maintain accurate and up-to-date patients’ records, recording data consistently and according to protocols

**Administration**
- Operate an effective booking system for patients requiring reviews in line with practice protocols
- Post - sort general and confidential hospital post
- frank and dispatch outgoing mail
- Liaise with stock controller for stationery
- Photocopying
- Attend receptionists’ and team meetings, as well as other meetings whenever necessary, sometimes outside normal hours
- Adhere to security protocols
- Responsibility under the Health & Safety At Work Act 1974
- Manage prescriptions request as per protocol

**Health and Safety**
- Actively participate in an emergency ie Fire, First aid.

**Housekeeping**
- Daily cleaning of computer & telephones within Reception to ensure cleanliness standards

**Computer**
- Word-processing
- Operate electronic links for registrations, deductions and test results
- Ensure that the system is operational at the beginning of each day and closed down at the end of the day

**Any other responsibilities considered appropriate to the post**

**Salary**: £9.87 per hour
