Elective Access Team Leader

**The Elective Access Department consists of several teams**:
- Outpatients
- Scheduled Care
- Contact Centre
- Rapid Access / 2 week wait
- Imaging
The Team Leader we are seeking will work predominantly within the Outpatient and Rapid Access teams, although you may be called upon to support other teams.
The Team Leader role is pivotal to the delivery of services to our patients and other stakeholder, ensuring that appointments are utilised effectively, waiting lists are managed appropriately and ensuring that the team are supported at all times.
As part of the overall management team you will be expected to promote a healthy culture in line with our Trust and Departmental values.
To be successful in this role you will need to be highly organised and a logical thinker with a strong ability to solve problems and multi task. A cheerful, caring and kind nature, with firm focus on delivering an excellent service are essential attributes, together with proven abilities to communicate effectively at at all levels
Ideally, you will have a good understanding of RTT and 2ww performance targets and have experience in working within a hospital environment; however this is not essential if you are able to demonstrate the other required skills.
Daily support and supervision of the Elective Access Administration team to ensure that the terms of the Trusts' Patient Access Policy are applied and that working practices within the team are in line with Local and Standard Operational procedures and Trust Policies.
Ensure all departmental tasks are covered on a daily basis
Work with the team to actively monitor waiting lists, ensuring that capacity is fully utilised, providing support and guidance in terms of capacity escalation to the Clinical Groups
Attend, and where appropriate, lead departmental meetings, and meetings with other stakeholders, such as clinical groups.
Collate data and provide reports and other information where required.
Support the delivery of HR matters within the team, such as 1-2-1's, appraisals, training and development.

DUTIES AND RESPONSIBILITIES

Operational Management
- Daily support and supervision of the Elective Access Administrative team
- Ensure all departmental tasks are covered on a daily basis, proactively escalating any issues to the appropriate Team Manager or Senior Manager to ensure that service delivery is not compromised
- Lead Daily Huddles with teams to monitor performance, allocate daily tasks and address areas needing support by providing clear direction.
- Work with the team to actively monitor waiting lists, ensuring that capacity is fully utilised, providing support and guidance in terms of capacity escalation to the Clinical Groups.
- Provide second-line escalation to clinical groups in terms of Urgent cancellations, DNA’s, and short-notice cancellations.
- Provide support on the use of systems such as IPM, CSS, ERS, Surginet, CHRS etc.
- Lead and support the team to ensure the terms of the Trust Patient Access Policy are applied.
- Ensure that working practices within the team are in line with Local and Standards Operating Procedures together with Trust Policies.
- Support the investigation procedure for formal / informal complaints, concerns and incidents as directed by the Management Team.
- Attend weekly PTL meetings with Clinical Groups feeding back any issues and providing updates on booking positions
- Attend departmental meetings as required
- Provide support and guidance in terms of Information Governance requirements, ensuring that departmental rules and Trust policies are adhered to.
- Participate in the departmental and trust audit process
- Monitor and validate all patients added to the waiting lists in line with RTT pathways ensuring that patients are booking in chronological and clinical urgency order as per the Patient Access Policy
- Assist with the development and implementation of new ways of working, systems and processes
Human Resources
- Complete timely and quality driven PDR’s in line with Trust Policy to ensure 100% compliance
- Monitor and support Mandatory Training to ensure 100% compliance
- Management of Annual Leave to ensure adequate resources are in place to maintain service delivery
- Undertake regular 1-2-1’s with the team
