We are seeking a meticulous and organized Document Controller to join our team in the engineering industry. The Document Controller will be responsible for managing and overseeing document flow and storage for various engineering projects, ensuring all project documentation is accurate, well-organized, easily accessible, and up-to-date. This role is essential in supporting project teams, ensuring compliance with industry standards, and maintaining the integrity of engineering records throughout the project lifecycle.
**Responsibilities**:
**Document Management**
- Maintain a comprehensive document control system for engineering project documentation, including drawings, specifications, contracts, and technical documents.
- Ensure all documentation adheres to company and project standards, including appropriate document numbering, version control, and revision tracking.**Quality Assurance**
- Review all incoming and outgoing documentation for accuracy, completeness, and compliance with quality standards.
- Ensure consistency in document formatting and layout according to company standards.
- Conduct periodic audits to confirm document control accuracy and compliance.**Collaboration and Communication**
- Work closely with engineering, project management, and construction teams to manage document workflows.
- Provide training and support to project teams on document control systems and processes.
- Serve as the point of contact for all document-related inquiries and distribute project documents to relevant team members.**Database Management**
- Utilize document management software (e.g., SharePoint, Aconex, EDMS) to store, retrieve, and distribute documents.
- Monitor system usage and suggest improvements or upgrades to enhance document control processes.
- Backup and archive documents at key project milestones and upon project completion.**Reporting and Documentation Tracking**
- Track and report on document submission and approval timelines to meet project deadlines.
- Generate status reports and summaries for project management regarding document control activities.
- Ensure appropriate document storage in compliance with legal, regulatory, and contractual requirements.
Qualifications:
- **Education**: Diploma or Bachelor's degree in Engineering, Business Administration, Information Management, or a related field.
- ** Experience**: Minimum 3-5 years of experience in document control, preferably within the engineering or construction industry.
- ** Technical Skills**: Proficiency in document management systems (e.g., SharePoint, Aconex, or other EDMS), and familiarity with engineering documentation standards.
- ** Attention to Detail**: Strong attention to detail to ensure document accuracy, compliance, and adherence to quality standards.
- ** Communication Skills**: Excellent written and verbal communication skills, with the ability to interact effectively with team members at all levels.
- ** Organizational Skills**: Highly organized with the ability to manage multiple tasks and deadlines efficiently.
- ** Problem Solving**: Ability to identify, analyze, and address document control issues in a timely and efficient manner.
Essential skills:
- Certification in Document Control or Records Management (e.g., CDIA, CRM) - an advantage
- Familiarity with ISO standards relevant to document management and control.
- Knowledge of engineering drawings, specifications, and project documentation processes.
