**Job Overview**

Office based resource for the sales team. Owning the administrative tasks, providing assistance and proactively contributing to the sales achieved by the sales team.

**Key Responsibilities**
- Monitor the whereabouts of sales team members ensuring the team are safe and well. Resolving or escalating any issues where necessary.
- Maintain an acceptable sales response time by helping the sales team to feedback to customers and prospects promptly.
- Handle all inbound sales calls, collect information, record details, take sales orders, proactive sales calls, follow up calls to customers.
- Responsible for producing sales reports: Daily Margin report, monthly sales reports, quarterly reporting and other ad hoc reports as requested.
- Responsible for CRM system updates, reflect the status of sales interactions with customers and follow up any overdue activities. Collate data from CRM and account managers related to campaigns.
- Responsible for Sales administrative tasks; quotations, contracts, order processing, data entry, calculating ongoing licence fees for quotes. Setting quotations to firm orders on contract confirmation. Raising and checking contracts prior to issue to customers and prospects.
- Maximise sales opportunities and support the efficiency of the department by handling some sales orders personally.
- Responsible for resolving basic sales enquiries without referral by making our customers feel valued and in safe hands by ensuring that sales enquiries are responded to promptly and efficiently.
- Build and strong relationships to understand the customer requirements and conduct basic sales.
- Work with other departments and build sustainable relationships through open communication.
- Maximise our recurring revenue by ensuring that maintenance fees are accurately applied to quotations and contracts where applicable.
- Maintain the customer database regularly.
- Produce and maintain internal sales documents and files.
- Deal with enquiries efficiently with the ability to see the customers perspective as well as understanding the commercial elements of our business.
- Contribute ideas during sales meetings.
- Occasionally visit customers along with the Account Manager to build stronger relations and gain a deeper understanding of the customers business and requirements.
- Provide cover for admin staff in other departments as required
- Become involved in ad-hoc tasks as required.

**Qualifications Required**

**Essential - **Ability to collate figures and build regular sales reports

**Essential - **Competent computer skills including Adobe Acrobat and Microsoft Office (Word, Excel, PowerPoint, Outlook)

**Essential - **Basic business process knowledge of Sales, Marketing and Customer Service.

**Desirable -** Previous experience within a software company is an asset

**Desirable -** Experience with Great Plains accounting software is an asset

**Desirable -** Experience with CRM systems is an asset

**Desirable -** Knowledge of hardware (PCs, Servers) and software systems and how they work
