For full details about this varied and rewarding role, please see attached job description, but some of the responsibilities include Personal Assistant (PA) & Administrative Duties To provide a comprehensive and high-level secretarial service to the Pathology Laboratory Services Manager and Pathology Quality & Governance Manager. The post holder will have the ability to work under pressure with multiple briefs and to various deadlines. To plan and priorities his/her work in order to ensure effective time management. To organise a comprehensive and efficient administrative service to the Pathology Laboratory Services General Manager and the Pathology Quality & Governance Manager.
Co-ordinate meetings as required. Produce reports and departmental publications. To be responsible for gathering and presenting data for Performance Management. Provide cover for other administrative roles within Pathology.
To be responsible for the management of User Complaints, Appreciations and Organisational Charts. To assist the Pathology Laboratory Services Manager and Pathology Quality & Governance Manager with co-ordinating the Annual Management Review process. To co-ordinate all departmental and some directorate meetings along with other administrative coordinators. To be flexible and provide cover for colleagues within capabilities and training.
Liaise with all relevant Pathology and Trust personnel as required, including Consultants and Managers Receive and provide sensitive information in a strictly confidential and professional manner. To use HealthRoster to manage the Pathology Management roster including adding unavailabilities such as sickness and annual leave, additional hours worked, and hours worked through Bank. To lead on ad-hoc projects depending on the needs of the department. Quality & Governance To assist in the maintenance of the electronic Quality Management Information System (Q-Pulse).
To support the Pathology Quality & Governance Manager to coordinate reports and responses to UKAS, MHRA, HTA and HSE where required. Have an awareness of various disciplines of Pathology and associated technical & quality issues. Liaises with Lead Biomedical Scientists and Department Managers to ensure the Pathology Clinical User Guide is kept up to date, this includes the review of change requests and implementing required changes in advance of review by the Pathology Quality & Governance Manager. Coordinate departmental annual quality management reviews, including scheduling meetings, gathering meeting documents and writing minutes.
To support the Pathology Quality & Governance Manager in coordinating the user survey, analyses and presenting information. To support the Pathology Quality & Governance Manager in coordinating the Pathology Quality and Governance forums, including scheduling meetings, gathering meeting documents and writing minutes. Work flexibly and undertake other duties commensurate to the post and grade as required. Training & Development Provide support to the Pathology Laboratory Services Manager and Pathology Quality & Governance Manager to ensure all staff are checked for HCPC registration every 6 months, as appropriate to grade.
Provide support to the Pathology Laboratory Services Manager and Pathology Quality & Governance Manager to liaise with Departmental Training Leads to prepare annual training and development funding requests for submission to the Trust.
