**Location**:Bury Hospice

**Purpose of Role**:To work closely with fundraising, finance and lottery staff, to oversee efficient data administration for Bury Hospice. To provide excellent customer service both internally and externally, promoting the work of the hospice.

**Hours**:37.5 hours per week - it is expected that work will sometimes be required outside normal working hours. However, time off in lieu is offered in accordance with the policies and procedures around working additional hours.

**Salary**:Negotiable depending on experience

**THE ROLE**

The primary duty of the Data & Direct Marketing Executive is to keep the company’s data safe, accessible and easy to understand. These professionals will also help to develop the different stages of our internal data system Donorflex.

The Data & Direct Marketing Executive will be key to how the Hospice uses and creates value from the data inputted and make the database a valued resource for the fundraising team, lottery team and the Hospice as a whole.

**PRINCIPAL DUTIES/ RESPONSIBILITIES**
- To accurately maintain fundraising, finance and administrative records and provide data support to the lottery team.
- To manage and maintain the database to keep donor contact information up to date, ensuring use of the database is developed to maximise efficiency and effectiveness in donor care, communications and management.
- Effective recording and management of supporter contact preferences and suppression requests, offering guidance to colleagues on agreed procedures e.g. RIPs, mailing preferences
- To be one of Bury Hospice’s experts on Donorflex and to be able to support/mentor all users of the database with the aim of creating easy reporting systems and transparent ways that they can look at data to support their own planning.
- To support the maintenance of the quality, security, back-up and performance monitoring of the database.
- To deliver and manage the donor thank you system including changes to the letters as required and including relevant gift aid information.
- To ensure that Bury Hospice remains compliant with regards to legislation and regulations relating to data protection.
- Lead on the resolution of database issues raised by the team/organisation.
- To maintain accurate records, both manual and computerised.
- To work to ensure JustGiving and other online giving sites are appropriately recorded and thanked (including website and Facebook).
- To support the fundraising team to ensure Gift Aid is correct and work with the team and finance to make one major gift aid approach every year to recoup possible gift aid.
- To complete and submit Gift Aid claims at intervals to be agreed with the Director of Income

Generation and the Finance Manager.
- To produce reports, stats and facts as required.
- Lead on data analysis and segmentation.
- General administrative duties, including incoming and outgoing mail, answering the telephone, filing, photocopying.
- To process incoming website payments and to oversee associated record keeping for all donations.
- Coordinate the development and delivery of direct marketing activity for key fundraising, lottery and awareness activities as required, in conjunction with the relevant members of staff.
- To build and develop effective working relationships with colleagues.
- Attend team meetings, working groups and any other relevant campaign meetings to provide data insight for campaigns across fundraising areas.
- Any other duties as deemed necessary by the Marketing Manager or Director of Income

Generation.

**GENERAL DUTIES/ RESPONSIBILITIES**
- Be familiar with and comply with all Hospice policies, procedures, protocols and guidelines.
- Promote, at all levels, the organisation’s vision, values and strategic objectives.
- Be aware of, and work towards, the Hospice strategic goals.
- Undertake flexible hours as and when the need arises to maintain safe practice.
- Support and participate in the fundraising activities of the Hospice wherever possible.

- Act as a responsible individual in relation to Health and Safety and be aware of the responsibilities of all employees to maintain a safe and healthy environment for patients, visitors, staff, volunteers and contractors.
- Take reasonable care of the health and safety of yourself and other persons who may be affected by your acts or omissions at work, and to co-operate with the Hospice in adhering to statutory and departmental safety regulations.
