We are looking for a Sales Account Support specialist. Reporting to the Head of Sales, this is a cross-functional role, working closely with National Account Managers and the Trade Marketing Manager. The overall aim of this role is to co-ordinate the day-to-day management of B2B customer orders, logistics, and documentation, whilst maintaining and improving current customer service levels. Commercial acumen and effective communication are crucial for the success in this role as the Sales Account Support is the main operational contact for the internal CLOUD NINE Sales team but also for the external logistics and B2B partners. This role will work closely with our Supply Chain & Logistics Team, Finance Team, 3PLs and external retail partners.
This is a permanent full-time role, based at the Harrogate HQ. Flexibility will be provided to accommodate any regular early and late working hours if required.
**Main duties**
- Manage the order flow process from obtaining the orders from the merchandiser through to delivery.
- Check if sufficient stock is available to fulfil new B2B sales orders and confirm back to the CLOUD NINE Sales Team if any issues.
- Liaise with the internal Supply Chain Team and external logistics partners to arrange physical stock movements if these are required.
- Add new B2B sales orders to internal ERP (NetSuite) and process/update these through the system and fulfilment process.
- Keep up to date the shared shipping schedule file to ensure everyone is aware of the status of orders.
- Ensure the internal Logistics Co-Ordinator and Warehouse Co-Ordinator are aware of the different requirements of each partner to ensure deliveries are compliant.
- Make sure that the supplier manuals are kept up to date.
- Book sales order deliveries in with B2B partners warehouses using their systems and processes.
- Ensure that supplier handbooks are kept up to date to ensure compliance.
- Follow up with the internal warehouse manager on all dispatch information and PODs as required by the B2B customers.
- Manage a constant flow of communication with all relevant teams (especially internal Sales and Logistics Teams) to ensure full visibility of order processing.
- Ensure up to date records are kept for sales orders to ensure end of month figures are met.
- Manage the returns process for any faulty or damaged items for our B2B customers.
- Work with B2B customers to ensure any issues and complaints are dealt with promptly and accurately.
- Weekly meetings with the Operations Team to update on upcoming orders to ensure they can update on any potential stock shortages.
- Manage the returns process on the CRM and through NetSuite with the Sales Team.
- Key point of contact for customers and drivers.
- Work closely with the National Account Managers to support with other tasks as and when required, including but not limited to new line forms, sending out samples to accounts, obtaining stock on hand and sell through reports etc.
**Desired skills and experience**
- Experienced in an end-to-end logistics and customer care environment.
- Previous order management experience.
- Ideally a good understanding of EDIs, supplier portals and stock management systems.
- Excellent verbal and written communication skills.
- Confident numerical skills, use of Excel, and analysis of data.
- Presentation skills for internal reports.
- Ideally previous experience dealing with 3PLs.
- Ability to work to tight deadlines and manage projects independently & as part of a team.
- Comfortable with negotiations and have a relentless focus on the key inputs to deliver the desired results getting the best commercial offering.
- Excellent attention to detail and ability to maintain accurate records and documentation.
- IT skills, with skilled use of Microsoft Office (including Microsoft Outlook, Word, and Excel).
- Ideally experience with NetSuite.
