**About you**
We are looking for a driven and proactive person to provide project support; someone who's enthusiastic with a positive, can-do attitude and with the ability to challenge the status quo. You should have good communication (both written and verbal), problem solving, and excellent organisational skills with the ability to work well within a team.
**What will you be doing?**
You will work as a member of the Operational Delivery Team alongside our experienced Project Managers.
In this role you will use your well-developed communication and organisational skills to ensure a consistent and collaborative approach to the support and delivery of all our Rail Projects.
You will be fundamental to the smooth running of projects, information/data gathering, and project control. Contributing to and supporting the delivery of project/programmes as required.
You will be required to liaise with project teams across both Preston and Nottingham offices.
**Core duties**:
- Providing support to the Project Management Team
- Preparing project documentation, process documents and project dashboards
- Assisting the Project Manager in monitoring and reporting on project deliverables, work stream/resource schedules and tracking against the project schedule and budget producing regular project status reports for the Project Manager
- Coordinating the project team’s activities in a timely manner
- Preparing presentations and documentation for external / internal meetings using information collected from the project team, project data and relevant stakeholders
- Taking minutes during meetings, then distributing to and monitoring actions on team members to complete as applicable
- Support with organising and the preparation of both project team and customer meetings and workshops
- Ensure that agendas and itineraries for project meetings are provided and well managed
- Extensive diary management - keeping an overall view of the diary, scheduling internal and external project meetings
- Use initiative and judgement to ensure that the project administration is always as effective as possible.
- Establish and maintain strong relationships with all stakeholders and external customers and suppliers
- Prepare reports, presentations, and communications to an accurate, high standard
- Ad-hoc duties such as ensuring timesheets are completed, timesheet reports generated and sent to accounts, raising and tracking purchase orders, and booking travel may also be required
**Experience and skills**:
- Previous relevant work experience in an administrative or project role
- Excellent interpersonal, communication, attention to detail and accuracy skills
- Good organisational skills, the ability to be flexible and to prioritise tasks
- Strong team player with ability to work independently and use initiative when required
- Good working knowledge of Microsoft software suite
- Good knowledge of planning tools such as MS Project would be desirable
