**Project Administration and Co-Ordination Support**

Are you an organised and proactive professional with a passion for driving project success? We're looking for a dynamic Project Support Coordinator to play a key role in the planning and execution of our projects. In this vital position, you'll support project management by organising and controlling day-to-day activities—ranging from gathering and distributing documentation to generating key financial data for budgeting and analysis. You'll also coordinate supplier administration, facilitate project-related meetings, and contribute to the successful completion of third-party audits. This is an exciting opportunity to provide critical administrative support while helping the team deliver on strategic goals.

**Project Administrator/Co-Ordinator - Key Responsibilities**

This role is dynamic and may vary depending on workload and cover requirements, but typically includes the following core areas:
**Project Progress & Reporting**
- Monitor labour attendance and trends (e.g. absence, holidays)
- Resolve booking discrepancies with supervision and payroll
- Collect and update weekly/monthly project progress data and reports
- Support Earned Value data collection and maintain H&S and quality statistics

**Project Financials**
- Input labour and third-party costs for customer approval
- Coordinate signing, scanning, and submission of finance sheets
- Assist Commercial team with cost variation and delay documentation

**Project Support & Administration**
- Prepare project reports using Excel and PowerPoint
- Maintain team holiday charts and provide cover for colleagues as needed
- Organise and support project meetings, reviews, and lessons learned sessions
- Manage time & attendance reporting, training records, toolbox talks, and notice boards
- Support budget preparation and track third-party spend
- Liaise with QA for up-to-date documentation and inspection reports
- Provide admin support for internal/external communication and meeting logistics, including minute-taking and action tracking

**Essential Criteria**
- Proven experience in project reporting and compiling high-level reports
- Proficient in Microsoft Office, especially Excel
- Ability to read or willingness to learn to read construction/engineering drawings
- Strong written, numerical, and communication skills
- Excellent time management, organisational, and administrative abilities
- Adaptable, proactive, and able to work under pressure to tight deadlines
- High attention to quality standards and detail
- Skilled in supporting projects, services, and initiatives with mínimal supervision
- Analytical and problem-solving mindset; understanding of Statistical Process Control (SPC)
- Ability to assess and meet customer requirements in line with project schedules

**Desirable Criteria**
- Familiarity with Health & Safety, Quality, and basic financial/accounting procedures
- Experience with business processes and improving team collaboration
- Strong cross-functional collaboration skills with internal departments
