**Job Summary**
**Project Coordination and Management**
- Work closely with designers and developers to coordinate projects and tasks across various disciplines.
- Ensure clear communication and alignment among team members.
- Maintain and update scheduling tools like Float to reflect current project timelines and resource allocation, adjusting schedules proactively to accommodate changes in scope or priorities.
- Oversee the flow of tasks and projects using Jira, ensuring that tasks are properly assigned, tracked, and completed across multiple projects.
- Close the loop on tasks and to-dos by ensuring tickets are properly closed and documented.
**Client Support and Communication**
- Ensure timely, professional responses to client inquiries and support tickets.
- Keep clients informed about project statuses, timelines, and any changes.
- Address client concerns promptly and escalate issues as necessary.
**Documentation and Specifications**
- Create and manage detailed project briefs and specifications to guide project execution.
- Ensure all documentation is up-to-date and accessible to relevant team members.
- Organise and maintain Google Workspace files, including Drive folders, documents, and spreadsheets for internal processes and project assets.
- Implement best practices for document version control and organisation.
**Process Ownership and Improvement**
- Take ownership of internal project management processes, identifying areas for improvement.
- Implement new procedures or tools to enhance efficiency and effectiveness.
**Quality Assurance and Testing**
- Ensure that all tasks in review are thoroughly tested and meet quality standards before closure.
- Coordinate with team members to resolve any issues identified during testing.
**Project Types**
- **Website Design & Development**:
- Coordinate new website builds, from UX and design to development, covering brochure sites to e-commerce platforms.
- **Website Updates**:
- Manage updates to functionality and content on existing websites.
- **Software Maintenance**:
- Oversee software updates and security patching.
- **Ad-Hoc Requests**:
- Respond to and coordinate ad-hoc client requests.
- **Digital Marketing Projects**:
- Assist in coordinating digital marketing initiatives, including SEO, PPC, social media, and content creation.
**Qualifications and SkillsExperience**
- Minimum of 2 years of experience in project coordination or management within a digital or creative agency environment.
- Demonstrated experience with agile methodologies and design sprints.
- Passion for promoting and integrating agile practices within teams.
**Technical**
- **Project Management Tools**:
- Proficiency with Jira for task management and Float for scheduling.
- Experience with Basecamp for client communications.
- Familiarity with tools and techniques that support agile workflows and design sprints.
- **Content Management Systems**:Knowledge of WordPress (WP) and/or other CMS platforms.
- **Google Workspace**:Strong skills in Google Drive, Docs, Sheets, and file organisation.
- **Website Development Process**:
- Understands the full cycle of design and development of a WP site.
- Understanding of hosting control panels and Domain management would be beneficial.
- Importance of Accessibility and Security in the production of digital products.
**Project Management**
- **Agile Methodologies**:Strong understanding of agile workflows and design sprint methodologies. Ability to integrate agile practices into various projects effectively.
- **Attention to Detail**:Exceptional organisational skills with a keen eye for detail.
- **Process Improvement**:Ability to identify inefficiencies and implement process enhancements.
**Communication**
- Excellent communication skills for interfacing with clients and internal teams.
- Experience managing client expectations and fostering strong client relationships.
**Additional**
- **Digital Marketing**:Experience managing or working on digital marketing projects (SEO, PPC, social media, content creation) is beneficial.
- **Problem-Solving**:Proactive approach to identifying issues and implementing effective solutions.
- **Team Collaboration**:Ability to work collaboratively within a small, dynamic team.
