Full time - 37.5 hours per week to be worked flexibly Monday - Sunday 8am to 5pm

We are seeking a Receptionist/Administrator to work across various Community Health Centres within Wolverhampton to provide a Reception and Administrative service.

You will be expected to promote a professional attitude offering an efficient and confidential service in person and by phone as part of the role.

You will have excellent communication skills and a flexible approach to work focusing on ensuring the needs of service users and visitors to the health centre are met.

The role involves referencing of, and inputting to, a number of electronic systems and you will demonstrate a high level of accuracy and attention to detail to ensure data quality standards are adhered to. Familiarity and experience of ICT systems is essential.

The post holder will work as a member of a team of receptionists and administrators and is required to undertake all aspects of the role, including dealing with patient enquiries, both in person and on the telephone, handling paper and computerized patient records, data inputting and filing.

The post holder works in close partnership with the clinical teams working in and operating from Health Centre’s to ensure the smooth running of clinics and services.

1. To greet, assist and signpost all visitors and patients to the Health Centre, providing a first point of contact and establishing a high standard of customer care

2. To manage clinical records manually and electronically

3. To arrange, as directed by the Clinician in charge, appropriate follow on appointments for patients and where appropriate transfer as a consequence of these arrangement

4. To deal with referrals in a timely and effective manner

5. To accurately input and update all relevant information systems using keyboard skills as appropriate

6. To ensure that patient notes are received, stored and returned to the appropriate Service at the end of the Clinic Session in accordance with the Trust Records Management Policy

7. To answer all incoming telephone calls and deal with as appropriate, processing enquiries and contributing to effective communication

9. To maintain stocks of stationery where appropriate

10. To ensure that appropriate moving and handling techniques and equipment are used when manual handling

11. To comply with the Health and Safety and Fire Regulations

12. To be the designated Fire Incident Officer and First Aider for the Building

13. To report and record, in accordance with Trust policies, accidents / untoward incidents / hazards / unsafe equipment to Support Manager and utilise the Trusts incident reporting process.

14. To be familiar and comply with all appropriate Trust policies and procedures

15. To partake in the Divisional Appraisal system and to attend the Trusts mandatory training programme and any other training as indicated by the needs of the service and deemed appropriate by your Locality Support Manager

16. To arrange Transport for patients as required at the request of the Clinician in charge

17. To maintain Notice Boards ensuring information is in date

18. To ensure entrance area is kept clean, tidy and welcoming

19. To be trained in the use of Spillage Kits and keeping them maintained in accordance with Health & Safety

20. To be competent in phoning the Emergency Services when required

21. To be responsible for mail, incoming and outgoing, internal and external and the distribution of this mail

22. To take messages and ensure they are effectively communicated in a timely manner

23. To be responsible for the security/distribution/returning of keys and ensuring rooms are locked when not in use

24. To be responsible for the reporting and recording all maintenance faults within the building
