Teaching Administrator

**Job Purpose**
To provide high-quality administrative support to enable the efficient and effective management, delivery and development of the School of Mathematics and Statistics portfolio of Undergraduate and Postgraduate courses.
**Main Duties and Responsibilities**
1. Provide general administrative support for the School's Undergraduate / postgraduate courses.
2. Responsible for the provision of comprehensive, end-to-end administrative support for a portfolio of undergraduate and postgraduate taught courses.
3. Administration of examinations including preparation of exam papers ensuring the moderation process is followed. Upload of exam papers to relevant portal(s). Design and processing of exam scripts. Servicing of exams whether in exam venues or online. Clerk to the Board of Examiners. Liaise with the external examiner and prepare all information required by him/her for pre-exam board scrutiny. Publication of results.
4. Responsibility for student mobility assisting with coordination for study abroad and exchanges by working closely with the Chief and Senior Advisors. Advise students on course matching and monitor progress of the inter-institutional Learning Agreements as applicable.
5. Administration of attendance monitoring of Tier 4 students, with responsibility for ensuring effective communication with Registry on up-to-date UK Visa & Immigration (UKVI) policy and developments.
6. Proactively maintain and update course documentation and specifications, in consultation with academic staff.
7. Support registration and enrolment of undergraduate and postgraduate students, updating MyCampus as required and ensure all students are fully registered, and providing advice and links to pastoral support.
8. Responsible for the timely collection of student work samples for use by the appointed External Examiners and Accreditation bodies (where relevant).
9. Point of contact for student and staff enquiries, working independently to resolve in a timely and efficient manner.
10. Attend and clerk internal School meetings, including Staff Student Liaison Committees and Subject Committees.
11. Undertake any other reasonable duties that the Line Manager or the Head of School Administration may request.
**Knowledge, Qualifications, Skills and Experience**
**Knowledge/Qualifications**
**Essential**:
A1 Scottish Credit and Qualification Framework level 7 (Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role
A2 Knowledge of administrative and procedures within a governance or legislative framework
**Desirable**:
B1 Understanding of university systems and structures, in particular learning and teaching
B2 Knowledge of Glasgow University's key business systems supporting learning and teaching, in particular MyCampus and Moodle

C2 Able to ensure effective and efficient processing of tasks and activities relating to people and data and to ensure they comply with policies, procedures and administrative systems

C8 Excellent attention to detail
C9 Excellent IT skills, covering the Microsoft Office suite (Access / Excel / Outlook / PowerPoint / Word)
**Experience**

E1 Experience of delivering administrative support services within a compliance and governance framework
E2 Experience of delivering high quality administrative support services to a variety of stakeholders with differing requirements and expectations
E3 Experience of ensuring that delivery of administrative support complies with organisational policies, procedures and timescales
E4 Experience of working in a multi-tasking environment while meeting deadlines and stakeholder needs
E5 Experience of working in and contributing to the effectiveness of the wider team while also meeting own goals and objectives
E6 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills through personal development and progression in a similar related role(s)
E7 Experience of working with and handling large volumes of administrative data, records and information
**Desirable**:
F1 Experience of working within the Higher Education sector supporting learning and teaching activities
