**Job overview**
Providing PA support to the Senior Operational Manager (SOM) for Inpatients and ECT - Older Adult Division; key priorities will be organising diaries and work schedules, preparing papers, prioritising work and bringing forward items and files for attention, maintaining diaries and arranging appointments/meetings as required.
**Main duties of the job**
Providing high quality administrative, clerical and secretarial support which will include taking minutes at high-level Trust meetings and committees. Required to work on own initiative and ability to plan work in accordance with the needs of the service; liaising with other teams, departments and external agencies as required.

**Detailed job description and main responsibilities**
- Prioritising all incoming work on a daily basis, including responding quickly and appropriately to urgent / important issues.
- To ensure that comprehensive administration systems are in place to facilitate the smooth running of a high quality administration service.
- All administrative activities are to be executed with maximum efficiency and effectiveness, with particular emphasis upon appropriateness, accuracy and timeliness whilst operating with the highest level of discretion to attract the full confidence of the Senior Operational Managers.
- To confidently use judgement on urgent matters and on issues that can be dealt with by other senior managers/direct reports; staff; or other departments, preparing background information on issues as required.
- To plan and organise meetings as required, ensuring that adequate preparation is taken for the meeting to run smoothly.
- To ensure that the Eroster is maintained and submitted in accordance with the Trusts’ policy:
- To assist with the recruitment and appointment of staff using the Trusts recruitment system, policy and procedures to ensure that newly appointed staff have all necessary pieces of equipment, including IT accounts and ID/Access Badge on 1st day of work.

Qualifications, Knowledge, Experience, Skills
Essential criteria
- RSA/OCR II Word Processing (or demonstrable experience)
- Previous administrative/secretarial experience
- Excellent communication / interpersonal skills.
- Proficient knowledge of computer packages, including Microsoft Office and keyboard skills.
- Knowledge of confidentiality
- Ability to work as part of a team.
- Ability to prioritise own workload and work to deadlines.
- Ability to use own initiative
- Be compassionate, empathetic and caring to everone
- Flexible
- Willing to learn and develop existing skills
Desirable criteria
- Good Standard of Education - to A level standard or equivilent (or relevent experience will be considered)
- Patient/public facing experience
- Use of electonic meeting management systems
