**JOB DESCRIPTION**

**EMD EVENTS OFFICE ADMINISTRATOR**

EMD organise and manage medical conferences for associations and societies. We form excellent relationships with clients and have a friendly and approachable team in our Sheffield office.

Excellent organisational skills are essential for this role, along with the ability to work un-supervised on occasions and to use your own initiative. You will need to be able to develop excellent working relationships with colleagues at all levels and communicate well. A pro-active, flexible, and professional approach to your work is vital.

You will be confident, enthusiastic, and deeply committed to providing a high-quality service to the Event Management team and our customers.

**SKILLS & KNOWLEDGE** _(training will be given at every stage to ensure that you are confident in the following skills)_
- Ability to engage with customers and deal with their queries from point of contact.
- Ability to demonstrate strong customer service.
- Ability to communicate with suppliers, speakers and delegates in a pleasant and effective manner.
- Ability to manage all aspects of administration in accordance with the requirements of the team.
- Computer literacy including word processing is essential with Excel, PowerPoint and Teams being an advantage.
- Must work well under pressure while meeting deadlines and prioritising workload.
- A good level of English language and grammar is required.
- Minute taking skills would be desirable.
- Ability to be self-motivated and work well as part of a dynamic team.
- Highly organised with great attention to detail.

**DUTIES AND RESPONSIBILITIES**:

- Process incoming correspondence and respond appropriately.
- Deal with telephone enquiries promptly and efficiently, seeking advice from the Project Manager where necessary.
- Answer, screen and transfer inbound calls.
- Maintain internal computer records and filing systems.
- Arrange, prepare and take minutes for the Society/Associations requiring this service to include booking of venues/accommodation if required.
- Preparing meeting mailshots and co-ordinating their distribution.
- Preparing delegate packs and meeting papers.
- Assisting the event team to help produce name badges, delegate materials and meeting brochures as required.
- Assisting with the delivery of events to ensure that all runs smoothly.
- Post-event evaluation (including data entry and producing reports for clients).
- Answer, screen and transfer inbound telephone calls - seeking advice from the Line Manager where necessary.
- Process incoming correspondence and respond appropriately.
- Use of internal computer records and filing systems.
- Any other duties commensurate with the role.

The post holder may be required to work out of hours. The post will also involve some travelling and working away from home, but this is infrequent.

Driving licence is preferred but not essential.

**LINE MANAGEMENT**:
The EMD Office Administrator will report directly to Kate Errett-Stephenson, Project Manager and in their absence will report directly to Jane Heppenstall, Director
