As the Operations and HR Coordinator for this large manufacturing business based in Thatcham you will sit across both the Operations and HR team providing administrative and coordination support for both parts of the business.
As a result this role is very busy, varied and fast paced.
If you are looking to get more involved in HR practices and processes and are interested in studying for your CIPD this would be the perfect role for you. There is scope for this position to develop and grow their HR skills and experience within this role andtherefore it is essential that you have an interest in HR or would like to develop your experience further in this field.
Role Responsibilities:
Operations Delivery and HR Support
- Support with booking internal and external meetings, arranging necessary room bookings and lunch arrangements as required
- Support with varied administration projects across the sit, examples of this include:
- Ensure all employee training files are completed and updated
- Support with the preparation of formal letters/contracts for new and existing member of staff
- Monitor the new starter induction process, produce probation confirmation letters and liaise with the People Manager regarding any necessary pay increments
- Complete all reference requests including mortgage, visa, work references for employees
- Manage the benefits administration including cycle to work scheme and eye care vouchers
- Manage the employee leaver process, including issuing confirmation of leaver letters for employees and arranging meetings for the People Manager to conduct an exit interview
- Undertake all filing in a timely manner to avoid backlogs
- Take notes at formal meetings including the monthly Operations meeting and H&S Committee meeting
- Create and maintain accurate organisational charts for tracking and maintain staff headcounts
- Provide daily and monthly plant-wide statistical analysis and reporting for the Plant Manager
- Coordinate and support first line HR requirements, including management of all benefits administration, absence management and internal project opportunities
- Support with any ad-hoc administration projects as requested by the Plant Manager or People Manager
Recruitment Support:
- Work with the People Manager to deliver effective recruitment support to the hiring managers
- Support with creating job descriptions and job adverts for both internal and external job postings
- Ensure references for successful job applicants are requested and received in a timely manner and thoroughly reviewed in line with the employees start date and probation date
- Ensure that required documentation such as eligibility to work are received before the employee commences work
- Creation and completion of all new employee files ensuring that all new starter paperwork has been received, and all files are completed and filed away within one month of the employees start date
Payroll and Reporting:
- Manage the internal Time and Attendance system and ensure managers are effectively using the WebTool
- Clear all anomalies on SAP on a daily basis by 10am for 2 main sites
- Responsible for managing holiday data for the Managers reporting lines and Sales Division
- Responsible for regularly auditing the data inputted on SAP to ensure accuracy and advise People Manager if any issues arise
- Ensure that any absence that is recorded in SAP is reflected in the weekly absence report which is sent to all managers every Monday PM
- Ensure that the overtime tracker is updated on a daily basis with all information generated from SAP
- Responsible for finalising all payroll amendments including sending formal paperwork to the Central payroll function in advance of month end
- Support the People Manager with monthly payroll reporting as required
Operational Duties:
- Liaise with our Health and Safety Manager to arrange new starter H&S inductions, risk assessments for employees returning from long term sickness and provide general administration to the H&S internal function
- Attend monthly H&S meetings and support with note taking and capturing any actions
- Attend any HR related meetings as required and support from a note taking capacity e. regular union meetings, employee relation meetings including absence etc.
- Manage all internal and external post and distribute accordingly
- Issue vacancy notifications and all relevant communications on the internal notice boards and electronic screens
- Support with any stationery requests and manage the ordering process for the Plant Management Team
- Responsible for managing the Fire and First Aid process for the full site
- Support the Plant Manager, People Manager and Management Team with ad-hoc duties when required
- Support the People Manager with arranging staff social events including the Christmas party
