We are looking for a Reception Team Lead to join our team in our GP Practice based in West Meads, Bognor Regis.

**The purpose of the role is to**:

- Offer general assistance to the Practice Team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
- Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way
- Undertake a variety of administrative duties to assist in the smooth running of the Practice including the provision of clerical support to clinical staff and other members of the Practice Team
- Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.

**Duties and Responsibilities**:
The duties and responsibilities to be undertaken by the Reception Team Lead may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Practice Manager, dependent on current and evolving practice workload and staffing levels:

- Opening up/locking-up of Practice premises and maintaining security in accordance with practice protocols.
- Overseeing and leading the reception services of the practice, ensuring reception staff achieve their primary responsibilities
- Maintaining and monitoring the practice appointments system.
- Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional.
- Processing and distributing incoming (and outgoing) mail.
- Taking messages and passing on information.
- Filing and retrieving paperwork.
- Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures.
- Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers.
- Champion continuous improvement (CI), encouraging staff to participate and make suggestions for CI initiatives
- Providing clerical assistance to practice staff as required from time to time, including word/data processing, filing, photocopying and scanning.
- Maintain and manage the patient areas within the practice this includes all public notice boards, equipment which is freely available for public uses and cleanliness for reception and waiting areas.
- Develop, implement and embed efficient reception processes and procedures to adhere to legislation.
- Prepare and deliver a short presentation at team meetings, communicating to the team any relevant changes or news from the reception team.
- Comply with the CQC security standards for keeping us, our patients and confidential data safe.
- Identify improvements to patient experience, providing positive and constructive feedback to colleague were appropriate. Manage and respond to the various feedback channels where necessary, to help improve patient experience.
- Provide initial guidance and advice to patients who wish to complain.
- Role model what good looks like, by adhering to the Practice values and behaviour framework at all times.
- Support the management team with ad-hoc tasks.

**Job Type**: Part-time

**Salary**: £11.25-£11.75 per hour
