The Skills Administrator is responsible for processing and checking all administration paperwork, to a high standard, ensuring learner sign up packs and documentation are available at all times. **Required criteria**: - At least one year's previous demonstrable experience in providing high-quality customer service both face to face and by telephone in a target driven environment such as a receptionist role - At least one year's previous demonstrable experience of high-volume input into complex databases where accuracy is essential - Strong IT skills with advanced knowledge of Excel and Microsoft Word - GCSE English Language at a minimum of a Grade B (or equivalent Level 2 qualification) - Ability to work under pressure to short timescales and multi-task a variety of competing activities concurrently, managing expectations of all parties adequately in the process - A very high level of attention to detail with a desire to ensure accuracy at all times Excellent decision-making skills **Desirable criteria**: - Level 2 Business Admin qualification - Previous experience in an Admin/Reception role - Experience or understanding of DWP/AEB programmes. **More details about the role**: **Customer Service** - Meet, greet and direct all visitors to the office, ensuring a quick, safe and effective flow of visitors especially during peak times. - To deliver a confident and professional telephone service, answering enquiries promptly both to internal and external customers. - Actively promote great customer service and promote continuous improvement by encouraging customer feedback. - To carry out our customer service calls to participants. **Administration** - Enter customer data into several databases, working towards deadlines. - Issue vouchers and petty cash according to strict rules as provided, carrying out regular reconciliations of vouchers and petty cash as required and reporting this to the finance department and line management. - Attend team meetings and record the minutes electronically. - Review attendance sheets for upcoming training courses and input these digitally in advance of training. **Organisation** - Ensure the office and all training rooms/meeting rooms are set up each day and clear and tidy of any unnecessary items. - Maintain stationery stock and process stationary orders as required. - Manage all incoming and outbound mail as per the office process. - Maintain a tidy office environment ensuring refreshments are available for visitors. **NB**:This job description is designed as guidance and there may be requirements to take on additional or alternative tasks to support the business as required. Your key tasks and responsibilities will be agreed with your line manager as part of the Triage performance management cycle.
