Job Introduction
The role of the Overseas Administrator is to ensure the smooth running of the operation throughout the European Stay Programme, including the effective co-ordination of transfers and excursions to enable our customers have an enjoyable and problem free stay.

The Overseas Administrator will provide support in all areas of administration to the Overseas Operation Manager and the Overseas Host team. They must possess a professional approach in order to maintain and reflect a high standard of service and customer care as set out by the company and will comply with and implement procedures as laid down by Head Office and the Operational Manual.

Main Responsibilities
**Administration Pre and Post Season**
- In conjunction with the Oversea Operation Manager create and set up schedule for all pre-season administration and branded paperwork.
- Produce all start and end of season packs.
- Produce detailed inventories of all the company stationary, uniform & equipment including storage details for out of season months.
- Set-up, maintain and generate documentation for the resort area via Taurus and Tiger Bay - Passenger Manifests, Arrival & Departure Lists, Booking Positions.

**Transfers and Excursions**
- Co-ordinate transfer programmes including booking vehicles, discussing with local DMC agents, liaising with resort staff and producing the required paperwork.
- Co-ordinate excursion programme including booking vehicles, ensuring guides are in place, liaising with the team in resort and producing the required paperwork.

**Resort Production**
- Ensure all company promotional material to include welcome packs, information book content and board posters are kept up to date with any changes and initiate ongoing checks of notice boards and any other materials, which impact on the reputation of the company.
- To provide administration support to all resort personnel.
- To have knowledge of the operation of the company computer and programmes, ensuring the efficient down loading of information and daily tasks.
- To book any sales in resort made by the Overseas Team.

**Communications**
- Investigate and respond to all booking queries from within the team and Head Office.
- Send regular resort positions to Field Staff.
- Facilitate monthly team catch ups.

**Reporting**
- Collect and log weekly resort reports and accounts, highlighting any issues that have arisen to the Overseas Operation Manager.
- Actioning any moves, late bookings and cancellations with suppliers and Overseas team.
- Prepare monthly watermelon scores for Overseas Team Quality.
- Ensure assignments are loaded to personalisation system for accurate reporting Personnel Logistics.
- Liaise with the Overseas team regarding the arrangements for the transport to/from their assignments.
