**Role Purpose**
To support the Head of Finance in ensuring the smooth and efficient running of all financial matters at Beaumond House.
**Main Duties**
**To assist the Head of Finance with**:
- Preparation and submission of quarterly VAT returns
- Preparation and submission of Gift Aid claims
- Review of monthly bank reconciliations
- Preparation of monthly and quarterly management accounts
- Preparation of annual budgets and quarterly forecasting
- Journal preparation and nominal ledger reconciliation
- Analysis of expenditure against budget, investigating and documenting explanations for any significant variances
- Detailed analysis, reporting and reconciliations including but not restricted to donation income reports, trading reports, bank and cash
- Development, implementation and maintenance of appropriate financial policies and procedures.
- To deal with finance related queries, both internal and external, as they arise.
- To be proactive in keeping up to date in developments which affect the role.
- Coordinating the ongoing management of all hospice and retail utility, comms and IT contracts and escalating when appropriate.
- Streamlining purchases of consumables to identify best value across hospice and retail operations, ensuring ordering is processed centrally and within purchase order requirements.
- Process weekly and monthly retail epos reconciliations, investigating variances where necessary.
- Work closely with and provide day to day operational support to the Finance Assistant.
**Payroll/Pension**
- Prepare monthly payroll, working closely with the Head of People and staff on all payroll related queries.
- Work with Head of People to ensure effective management of pension scheme, including correspondence with staff and liaising with pension provider to ensure timely enrolment, appropriate contributions into the scheme and compliance with legal requirements and the Pension Regulator.
**Administration**
- Take responsibility for own administration, including filing, always completing to the highest and most thorough standards
- Maintain accurate and up to date records using agreed systems, including Xero, Beacon database and MS Office 365. Use these to set up and run reports in order to provide information to the Head of Finance.
- Respond in a timely manner to enquiries/queries.
- Support directly or via signposting for IT queries eg. Use of MS 365, Mentor, Gift Aid.
**General Duties**
- Work collaboratively and cooperatively with your Beaumond House colleagues
- Abide by the Health and Safety at Work Act
- Work within Beaumond House policies and procedures
- Participate in and contribute to team meetings
- Always behave in a professional manner, reflecting and maintaining Beaumond House values
**Skills, Experience and Attributes Required**
- At least 2 years of working in a similar role
- A finance qualification or working towards one such as AAT level 4 will be desirable
- Experience of maintaining purchase, sales and nominal ledgers
- Experience of working for a charity is desirable but not essential
- Confident in use of Xero
- Experience of using a payroll system
- Experience of using and maintaining databases; experience of working with a Fundraising database is desirable but not essential
- Clear understanding of confidentiality and data protection with written and computerised materials and processes
- Knowledge of the voluntary sector and volunteering is desirable but not essential
- Ability to organise self, prioritise varied workloads, plan effectively and work to deadlines
- Ability to achieve a high output, whilst maintaining quality demonstrating patience and perseverance when faced with setbacks and challenges
- Strong communication skills with the ability to communicate effectively and creatively, both verbally and in writing
- Ability to support colleagues and build good working relationships at all levels
- Ability to work unsupervised and work to own initiative
