PA/Office Management Role

Salary £30,000 with opportunity to progress

Monday-Friday

8am - 5pm

Based in Bexleyheath

Our client is looking for a office manager/PA to oversee the everyday operation of their office, support the managing director and wider office team with ad-hoc admin duties and manage a fleet of company cars and vans. Previous office management skills arerequired.

Office Management Duties
- Maintaining overall building features and contacting handyman for repairs where necessary.
- To have keyholder responsibility - opening and locking up the building when required.
- Remaining in constant communication with our IT provider to make sure all charges are in-line with the equipment we possess, ordering new equipment when required, have regular KPI meetings to monitor their response to our issues/ticket requests, be onhand to communicate with them in emergencies such as no wifi, systems going down etc
- Ordering new equipment and monitoring budgets for this e.g - new computers, mobile phones, keyboards, office chairs.
- Maintaining current contracts for broadband, gas, electricity etcand/or researching alternative providers and overseeing contract commencement.
- Maintaining communication with the cleaner, organising their visits/working days and, ordering supplies.

Fleet Management Duties
- Maintaining spreadsheet on current vehicles within the fleet (lease start/end date, mileage, CO2 emissions, MOT due dates).
- Contacting the leasing company to obtain new vehicle quotations and placing orders for new vehicles where needed/at the end of leasing agreements.
- Maintaining insurance portal: removing old vehicles, adding new vehicles.
- Maintaining parking and congestion portals: Dart Charge, Congestion, PayByPhone, JustPark and Ringo.
- Logging insurance claims in the instance of accidents.
- Arranging vehicle servicing, MOTs and repairs with local garages.
- Monitoring the vehicle tracking portal - ensuring relevant personnel within the office have login access: admin access, management access and normal access.
- Ensuring all new driver records are obtained: driving license, signed handbook, signed health form and that this is submitted to our driver check portal.

PA Duties
- Ensuring external visitors are made welcome/assistance in event planning: arranging coffee, tea, lunches etc
- Supporting with answering phone enquiries and covering answering the phones for the Call Desk during lunch breaks.
