If yes, this is the job for you We need a strong driven administrator who is familiar with clinical systems and processes, has a keen eye for detail and can drive the governance agenda within our multidisciplinary teams.
As a critical role within NCGPA, you will work in partnership with the Medical Director, Executive Team, Clinicians, and the wider business services, ensuring all NCGPA Services have the highest standards of clinical and organisational governance. Our aim is to constantly assess, review, and improve the care and services we provide.
**Responsibilities**
- Organising and supporting board and committee meetings including convening of meetings, preparation of agendas and reports and minuting meetings
- Keeping the organisational risk register and ensuring all sites regularly update the register ensuring that information flows securely to the right people
- Leading the clinical governance process for the organisation including development and delivery of clinical audit with clinical leadership
- Ensuring the organisation meets legal and regulatory requirements, including CQC and Companies House
- Oversight of significant learning events and complaint handling for reporting and analysis
- Responsibility for producing and updating company policies
- Keeping proper, accurate, records of decisions so action can be taken
- Researching new topics and emerging trends for committees/support with process auditing
- Preparing reports to advise the chair, board and the executive team on governance matters
- Ensuring Shareholder records are accurate and maintained in line with legal obligations
- Collaborating with internal, corporate and the organisational services at all levels
- Contribute to and assist with the development of new systems and processes as part of the development of quality standards organisation wide
- Preparing the annual report and AGM materials in conjunction with the Head of Corporate Affairs and Communications
Carrying out other duties as requested by the Corporate Lead and the people you support that are commensurate with the grade of this post, which will often involve responsibility to deliver activities to tight deadlines.
**Key Skills and Qualifications**
- Significant experience of working effectively in a complex organisation and the ability to manage and prioritise a varied and busy workload to deadlines. Experience in supporting multiple individuals is advantageous.
- High standard of English, including oral language skills, literacy, and ability to draft correspondence and minutes, and the ability to undertake or commission briefings for meetings and other engagements.
- Excellent communication and interpersonal skills and comfort in liaising with people at all levels, internally and externally; ability to exercise a high degree of tact and discretion in dealing with confidential matters.
- Excellent organisational abilities and efficiency, coupled with sound judgement. The demonstrated ability to use initiative, to assume a high level of personal responsibility in dealing with issues and to facilitate constructive solutions to requests or problems.
- Excellent judgement and the ability to rapidly acquire the knowledge necessary to effectively assess and prioritise the various competing demands on their time, solve problems and work calmly under pressure to meet tight deadlines, prioritising own work as appropriate.
- The ability and confidence to take ownership of complex, delegated tasks and to work under own initiative.
- The ability to work to a high level of accuracy with a keen eye for detail, respond positively to changing requirements and deliver excellent customer service.
