MAIN FUNCTION OF THE JOB
As Administrator, you will be responsible for the effective management of enquiries and general administration for both Ivonbrook & Darley Hall Care Home.
KEY RESPONSIBILITIES
All duties are to be carried out in accordance with the Partnership’s Policies, Procedures and Guidelines.
2. Respond to, and re-direct, enquiries in a friendly and effective manner.
3. Collect all incoming mail and forward to the relevant person.
4. Report any maintenance issues to the Registered Manager and follow health & safety laws.
5. Communicate with residents in a friendly and appropriate manner.
6. Process receipts of monies against residents’ accounts and maintain appropriate records.
7. Maintain confidentiality of information at all times, ensuring that such information is kept securely and not left where it can be seen by staff and visitors.
8. Provide administrative support to the Management Team as required, including typing, filing, dealing with correspondence and any other duties required.
9. To assist with M&H, care and support throughout the day with our residents
10. To undertake and register Covid
- 19 Testing for all staff and residents.
12. To support care planning on PCS, including Care Plans, Risk Assessments and any other information required.
13. To support Registered Manager in new admission process.
14. To support with Social Media, Marketing and any other PR duties.
15. To support with the booking of visitors to the care homes and liase with the relevant people.
16. To document and type up any meeting minutes that they are party too.
JOB CONTEXT
The role requires effective communication and interpersonal skills. The ability to develop good relationships with colleagues, suppliers and visitors to the Home along with the ability to work as part of a team is vital.
KEY CHALLENGES
To ensure the Home’s high standards are maintained.
KEY MEASURES
1. Mandatory, and other, training up to date.
2. Regular supervision meetings with the Registered Manager
3. Results and feedback from inspections and audit reports (internal and external)
PERSON SPECIFICATION
**QUALIFICATIONS, EXPERIENCE & TRAINING**
- Good english language, communication, numeric and literacy skills
- educated to a GCSE standard or equivalent
- knowledge of MS Office (Work, Excel, Outlook, etc)
- formal training, or willingness to undertake, training relevant to the job
**PERSONAL SKILLS**
- approachable, friendly and able to work in a team
- reliable and punctual
- good organisational and practical skills
- good telephone manner
- organise, plan and prioritize own workload and meet deadlines
- genuine interest in working in a caring environment
- understand and adhere to policies and procedures

- appreciate the need for confidentiality
**OTHER**
- granted the legal right to live and work in the UK
- willing to work additional hours if required, ie evenings, weekends and bank holidays when required to ensure the continuity of the service
