Role Purpose
As a member of Business Administration Services (BAS) and the Virtual Administration Service undertake a range of administrative duties across the business following processes and procedures with limited guidance and supervision.
Key Accountabilities
Supports the delivery of a high quality administrative support service to the business with limited supervision and guidance and works within clearly defined procedures.
Resolves standard queries escalating more complex issues to a senior member of the team.
Supports delivery of a high standard of customer service communicating with tact and diplomacy at all times, taking accurate messages and passing them on to the appropriate person in a timely manner.
Supports the effectiveness of the BAS team by identifying and communicating improvement opportunities within own role and tasks and assists with change/improvement projects and activities.
Supports resilience across the BAS team by learning new skills and tools and providing administrative/reception support where and when required as determined by the Team Leader.
Participate and support a smooth transition to the new organisational model.
Produce Work Instructions for new tasks and ensure these are filed under the correct BAS Service Work Instructions Folders
Key Capabilities/Knowledge
Ability to communicate confidently with a range of people
Ability to work within procedures with limited supervision and guidance
Good organisational skills with the ability to multi-task
Knowledge of Ariba and the QQ purchasing process
Understanding of information classification in accordance with MOD policies and control of off-site movements.
Awareness and understanding of Project Lifecycles
Experience & Qualifications
Essential
Demonstrable business administration experience equivalent to NVQ Level 3
Role specific tasks - Virtual Administration Service
Provide support to the Virtual Administration Service delivering planned or requested activity which will depend on the requirements of the individual task but will typically include some of the following:
Note taking - provide virtual support to regulatory meetings e.g. HR grievance meetings
Meet Supporting - assist with large customer visits/events - support booking in, liaison with security, organise rooms, refreshments and any other appropriate activities required to ensure a successful event
Database Management - maintaining and updating information on customer databases
Purchasing -either using Ariba or a purchasing card following company procedures
Support a range of information management tasks i.e. ePDR and e3PDR Mustering
Document Management - should have at least a Basic/Intermediate level of the Word/Excel to support tasks which could include but not exclusive, formatting documents, proof reading, making spreadsheets etc
Support VAS Senior Administrator to create, keep up-to-date various Work Instructions
Reception - provide resilience for Reception as required
**Support to requests via the on-line Service Catalogue tool by**:
Monitoring, undertaking and responding to task requests in a timely manner
Complete tasks with mínimal supervision, escalating queries where appropriate
Group Property Administrators
Provision of helpdesk support processing all work requests received through the SAP system.
Build a valid work order from the SAP notification, assigning it to an appropriate person.
Closing work orders on the SAP system.
Issue planned maintenance work orders and close them when completed within agreed timeframe.
Provision of holiday/sickness cover for other members of Business Administration team as required
