**Sunny Meed Surgery** is a well-established, fast growing, friendly training practice that has a dedicated clinical and administrative team. We are minutes away from Woking railway and bus stations.
This is a patient-facing and confidential role, requiring excellent communication, IT, and organisational skills, as well as a strong understanding of medical terminology and NHS procedures.
Our practice covers **three sites**: Sunny Meed Surgery on Heathside Road, Goldsworth Park branch on Denton Way and Greenfield branch in Old Woking. Our clinical team consists of GPs, Advanced Paramedic and Nursing Practitioners, clinical pharmacists, first contact physios, Nurses and HCAs. The practice is supported by an experience administrative team, which includes secretaries, administrators, care co-ordinators and receptionists.

**The Practice**:
- Sunny Meed Surgery has been established for 70 years and is a GMS practice
- Training practice
- List size 13,000 patients
- 3 partners and salaried GPs who are supported by an Advanced Paramedic Practitioner, First contact physios, Practice Nurses, Health Care Assistants and clinical pharmacists
- A dedicated Administrative and Management Team
- EMIS Web clinical system
- CQC rated Good
**Secretarial Duties**:
- Copy typing of medical correspondence, referrals, reports, and patient letters.
- Managing e-referrals (eRS), and other referral systems.
- Liaising with hospitals, consultants, and external health professionals.
- Ensuring that all correspondence is correctly filed in patients’ records (paper or electronic).
- Tracking urgent and 2-week wait referrals to ensure timely follow-up.
**Administrative Duties**:
- Processing incoming and outgoing mail.
- Supporting the repeat prescription process and liaising with pharmacies.
- Assisting with patient registrations, and medical reports as needed.
- Maintaining confidentiality and data protection at all times.
**Person Specification**
**Essential**:
- Previous experience in a medical secretarial or administrative role (ideally in General Practice or the NHS).
- Excellent communication and written skills are essential along with confidence using IT and learning new skills.
- Proficiency in Microsoft Office and clinical systems (EMIS Web, Docman).
- Understanding of medical terminology.
- High level of accuracy and attention to detail.
- Strong organisational and time management skills.
- You must be able to prioritise your workload effectively under pressure and possess excellent organisational skills.
- Understanding of patient confidentiality and the Data Protection Act.
**Desirable**:
- NVQ Level 3 in Business Administration or equivalent.
- Medical secretarial qualification.
- Experience with NHS referral processes and eRS.
- Familiarity with QOF and clinical coding.
**Additional Information**:
- The post holder may be required to work over the three sites.
