Temporary Secretary

We want you to join our wonderful client to help support their Executive Director.This is a busy and varied role, so you must be happy working at a fast pace and be able to manage last-minute changes. The Executive Director has a full diary with lots ofcompeting priorities, as their Temporary Secretary you will act as gatekeeper and ambassador. Resilience and tenacity are going to be key for this role
For the right person, there is an opportunity to take this position permanently. However, please note that the permanent role requires some Saturdays to be worked.
**Temporary Secretary Responsibilities**
This position will involve, but will not be limited to:
- Support the Director by providing a high standard of personal executive level assistance to meet the needs of the Director’s objectives, including a significant amount of diary management, setting up meetings, hospitality, travel, and visa arrangementsworldwide
- Supporting the Director by liaising in advance with direct line-reports for key information prior to meetings
- Board meeting preparation. Preparing agendas, minuting and the rapid production of reports, presentations, drafting letters and other documents as required
- Maintaining a paper-based and electronic filing system and general organisation of documentation
- Processing expense claims and credit card bills in accordance with financial regulations

**Temporary Secretary Essentials**
- PA/EA skills are essential for this position, including diary management, meetings, taking minutes and travel arrangements
- Demonstrable skill and experience in a high-level support will be a particular strength
- Ability to adapt quickly to changes in schedules and priorities
- Excellent interpersonal and communication skills, both oral and written
- Ability to relate comfortably and effectively with a wide range of people. Experience in a comparable institution would be a further asset.
- Able to produce work of a high standard and proofread own work
**Location**
Standard hours are 37.5 hours per week Monday to Friday, typically from 9am - 5.30pm. Should you wish to there may be the opportunity to work Saturdays.
