POST TITLE: Administrator
RESPONSIBLE TO: Office Manager
PURPOSE OF ROLE: To work alongside the Office Manager providing effective administrative support for the service
HOURS: 15k
- Monday to 1pm - 5pm.
SALARY: £13.57
MAIN DUTIES AND RESPONSIBILITIES
**To support, or in the absence of the Finance Administrator and Administrator**:
1. Responsible for supporting all aspects of the financial record keeping and payroll of the organisation. Training will be given.
2. Supporting recruitment of staff, volunteers and Board members through the obtaining of references and DBS clearance.
3. Returns to Local Authority and NHS customers for invoicing purposes.
4. Reporting to and liaising with the Office Manager.
5. Taking and distributing minutes for Board and staff meetings.
6. General Office Admin tasks.
7. To support the Parent Mail Hydrotherapy pool booking system and customers.
8. Monitoring of user voids and reporting to the Office Manager.
9. To provide cover for some, time sensitive, work tasks of the administrator and Office manager in their absence.
10. Other tasks within the remit of the job may be required from time to time. The job description will be kept under review to ensure it remains up to date. The jobholder will be consulted about any proposed changes.
**ESSENTIAL REQUIREMENTS**
**1. Skills, knowledge and abilities**
i) A Confident self-starter who can manage and prioritise their workload.
ii) Team Player.
iii) Confident with Microsoft Word and Excel, including formulas.
iv) Excellent customer service and communication skills.
v) Knowledge of Sage 50 Accounts or similar and Payroll packages plus previous experience in an accounts position essential.
vi) Ability to work to a high level of accuracy in a vibrant environment where interruptions from service users, staff and telephones are a feature of the working day.
**2. Educational Qualifications**
i) A minimum of GSCE/O Level in Maths and English (or equivalent).
ii) Accounting Qualification desirable.
**3. Experience**
Experience of issuing and paying invoices. Payroll roll payments, ideally Sage but training can be given.
**4. Other**.
Willingness to increase hours, e.g. 8.30am to 4pm, to cover for absences in other administrative and finance roles would be an advantage.
Note an enhanced DBS check will be undertaken at regular intervals.
