**About The Role**:
**Purpose of the**Role**:
To be responsible andaccountable for the organisation of a regional window cleaning team(s),enabling the delivery of PPM and specialist cleaning services in an efficient,professional and customer-focused manner by supporting the Operations Managersand Account Director for the Regional team. To completevarious administration tasks within your role to support your team
**Experience and**Qualifications**:
- Previous experience working in a fast-paced administration role would be ideal
- Previous experience in supporting a team would be ideal
**Duties**and**Responsibilities**:
- Excellent organisational, planning and time managementskills.
- Scheduling team works, ensuring that adequate staffing isallocated so works are completed in reasonable time.
- Use of different business systems including Outlook,Teams, in-house management tools (including Big Change, Salesforce, Concept,Dynamics and the OCS hub) as well as customer systems such as Meridian, RiskWiseand Elogs.
- Responsible for keeping within the parameters andbudgetary requisite set down for each contract.
- Ensuring systems are up to date so operatives can record completedworks.
- Booking in works with site/contacts, raising permits, sendingRAMS, completing pre-site forms where necessary.
- Supporting the billing of completed works each month,working to month end deadlines, handling billing queries and providingsupporting evidence as required.
- Completing administration tasks for your team, such asraising POs, completing operative orders, processing new starters on your team
- Cover for annual leave of Operations Administrators tosupport the wider SWC management team.
- Providing accurate and regular reports to the managementon client performance.
- Supporting personnel management, including staffrecruitment, performance assessment, training, and mentoring for the centralteam.
- Ensure that all Health and Safety planning, including riskassessments, COSHH, PPE and Health and Safety Plans are co-ordinated by AccountDirector.
- Maintain records of RAMs, schedules, training certificatesand H&S records via teams and any other shared platforms.
- Taking ownership of customer complaints, coordinating withresolution parties, and establishing effective communication betweenstakeholders.
- In-depth knowledge of escalation procedures, incidentmanagement, and other disciplines related to service delivery.
- Identify any cost saving opportunities and servicedelivery innovations.
- Assist with creation of adverts for SWC vacancies toindeed or equivalent.
- Take responsibility for the provision of in-house trainingfor the operational team.
- Support the disciplinary/grievance procedures for theoperational team as outlined in employee handbook.
**Skills and**Abilities**:
- Excellentcommunication skills, both written and verbal. The bulk of the job iscommunicating with clients and internal contacts. You must have the ability tocommunicate with people of all levels.
- TimeManagement Skills - At times you will have conflicting priorities and will needto be able to prioritise your tasks effectively.
- Youmust have the ability to work well on your own, be self-sufficient andmotivated whilst also being comfortable working as part of a team and followinginstruction.
- Anability to interact effectively at all levels with clients and staff, and torepresent SWC in a competent and professional manner.
- Logicalthinking with creative problem-solving ability
- Greatattention to detail
- Theability to work well with others and support a team
- ITliterate, Internet Explorer, Word, and Excel etc.
- Soundknowledge of Health and Safety.
