**Overview**
Pertemps Recruitment, on behalf of Buckinghamshire Council, has an exciting opportunity for a Business Support Officer (experienced administrator) to join the Children's Services team in their Aylesbury office. Working alongside the Children's Services Manager,you will play an important role in providing effective, timely and confidential administration support to staff and managers in Adult Learning as required. You should be process oriented, pay close attention to details and have analytical thinking skills.You will be responsible for accurately administering the recruitment processes for Adult Learning tutors and casual staff.
**About the role**
As a Business Support Officer, you will be responsible for:
Business Support:
- Communicating effectively with internal and external customers. Co-operating with and support colleagues to resolve problems, within scope of role, escalating to line manager as required
- Dealing with the administration of volunteers; ensuring correct procedures are followed
- Provide administrative support in creating documents, reports, correspondence etc. from information provided, using standard formats and software. Review own work to check for accuracy and completeness
- Organising and maintaining records and documents using the appropriate process system. Collate, verify and prepare data for analysis. Process, analyse and interpret data following standard procedures
- Completing financial transactions such as reimbursement of expense claims, customer invoicing, purchase invoicing and purchase order processing using the SAP system
- Being the point of contact for the service area in the absence of managers and staff, receive visitors and maintain good public relations
- Undertaking other administration duties such as mailbox management, making travel arrangements, scheduling meetings, filling / archiving and assisting with general office duties
Casual Staff Recruitment:
- Managing the recruitment process for tutors and casual staff
- Providing advice and guidance on casual staff recruitments to line managers on matters relating to documentations, references, interview support etc.
- Creating, maintaining and monitoring relevant records for tutors and casual staff including an accurate and up to database of tutors, casual and all claims-based staff
- Managing and maintaining an accurate central register for all Adult Learning staff, including DSB checks, qualifications held, staff development and trainings attended
- Dealing with queries from prospective tutors
- Deputising for the Finance & Payroll Officer in processing pay claims for causal staff and dealing with pay queries
- Undertaking ad-hoc payroll tasks as required or directed by the Finance Manager
- Maintaining and improving operational efficiency and quality of service of own area through recommending improvements in procedures/ process
This is a temporary position for 4 months, though there is potential for this to be extended further. The pay rate is £12.48 per hour, and you will be working full time, 37 hours per week.
The Aylesbury office is conveniently situated in the town centre (HP20 area) with great transport links including a local train station and excellent road connections to the M25, M1, M4 and M40.
**About you**
- Relevant experience which demonstrates ability to undertake role
- Good financial working knowledge of relevant processes and systems in an office environment
- Good knowledge of service provided in own area and awareness of wider Council activities
- Organisational skills and the ability to prioritise workloads and achieve deadlines
- Good verbal and written communication skills
- Numerate and accurate with attention to detail
- Experience in dealing with customers
- Note-taking skills
