**Responsible for placing and progressing of purchase orders (for assigned suppliers) placed on the Great Plains system for both backorders and stock replenishment. Proactively liaising between both suppliers and internal departments to ensure accurate and timely provision of delivery information as well as product. Negotiating with suppliers to obtain the best price for both individual products as well as longer term agreements. Accurately maintaining all Purchasing databases to a high standard.**
**Main Role and Responsibilities**
General Duties
- Undertake the placing and progressing of purchase orders on the Great Plains system
- Ensuring accurate delivery information is both input on Great Plains and supplied to Canford sales department
- Liaising regularly with Master Scheduling to ensure stock levels are readily available to meet ongoing workload of Production
- Supporting sales with quotation requests gaining best price and lead-time information
- Deal with both supplier and client returns, returning to stock or securing credit notes for stock returned to suppliers
**Database Management**
- Liaise with suppliers, catalogue production team as well as Purchasing Manager regards to all aspects of GP Purchasing database management. (E.g. product pricing, description, supplier codes etc.)
Invoicing and Credit Note Queries
- Ensure that all invoice and credit note queries raised by the Finance department are cleared within the 15-day period assigned to clear such queries
**General Administration**
- Data entry, photocopying and filing as and when required to ensure that all relevant information is processed and archived correctly
**Health & Safety**
At Canford, all staff are responsible for health and safety in order to minimise any occupational risks within the workplace. Departmental managers are responsible for ensuring that health and safety legislation and all internal policies and procedures are adhered to at all times, not only for their remit but the whole company. Managers must ensure that their staff have access to such health and safety information and positively encourage the reporting of any safety issues.
**Skills / Competencies**:
- Must be a team player as roles may be interchangeable dependant on workload
- Demonstrate strong communication skills
- Excellent verbal skills - ability to influence both internally and externally
- Computer literate, good knowledge of Microsoft Office packages
**Qualifications / Experience Required**:
- Must have a good standard of Maths and English
- Working towards Level 3 Business Administrator Standard or Similar
- With progression Supply Chain Management Certificate
