**Purchasing Lead Administrator**
**Defence Academy, Shrivenham, SN6 8LA**
**12 Month FTC / Full time 37 hours per week**
**Salary Competitive salary £22,145 plus benefits**
The role of the Purchasing Lead Administrator is to provide purchasing and administrative support to Serco at the Defence Academy, ensuring a high standard of administrative provision in support of Shrivenham Station and Serco departmental activities. Duties will include the use of specialised purchasing programmes and One Card (credit card) for processing of purchase orders and goods receipts notifications as well as the provision of general administration support.
**As part of this role you will**:
- Provide purchasing and administrative support to Serco at the Defence Academy.
- Work from Top Desk and updating order requests promptly
- Receive purchase order requests, review and submit the purchase orders into the system or purchase by credit card, in accordance with Serco procedures and the group financial control manual and ensure that the correct work breakdown structure (WBS) elements and product categories for approval.
- Creating and processing one time vendor forms and vendor amendments on SAP.
- Assist in making ‘Adhoc’ payments/purchases, as and when required.
- Responsible for tracking and monitoring of purchases, including open purchase orders report, goods received/invoice received report, retrospective purchase orders report.
- Production, amendment and maintenance of assigned spreadsheets and databases.
- Ensure that goods received notifications are actioned on delivery of ordered items ensuring that prompt payment to suppliers can occur.
- Liaise with suppliers as necessary to ensure timely receipt of outstanding invoices.
- Maintain contracts with third parties, identifying renewal dates, obtaining quotes and ensuring they are actioned in a timely manner.
- Authorising invoices for payment.
- Provide billing and reporting reports for all departments when requested.
- Provide quotes for items as requested by all departments.
- Review and update own work instructions as required.
- Provide absence cover for other posts within the Support Services department, if required.
- Provide training to colleagues as required.
- Take a pro-active role in the department to liaise with colleagues and customers and be fully conversant with your workload.
- Any other tasks as directed by the Team Leader Support Services.
**What you’ll need to do the role**:
- Good level of general education, with GCSE’s (A-C) or equivalent in English and Mathematics.
- Self-starter with the ability to work individually and as part of a team
- Excellent communication and interpersonal skills at all levels
- Exceptional organisation skills with a high attention to detail
- Ability to prioritise workloads and work to exacting standards
- Strong administration and coordination skills
- Ability to maintain accurate records using computer-based systems
- A good understanding of and/or previous experience of financial administration
- Good attention to detail
- Ability to work under pressure
- Flexible and adaptable to change
- Desirable - experience of financial accounting processes
- Desirable - experience of contract administration
