**Grants Administrator**:
The role reports to the Senior Grants Manager.
This is a skilled administrative role that provides comprehensive and skilled support to the grant giving purpose of the business. The role primarily supports the grants function, but the postholder is expected to work flexibly and undertake administrative tasks and duties that may span any part of the Team. The role will suit an experienced administrator who is able to manage multiple priorities effectively and efficiently.
Key Responsibilities
1. To enter and maintain data within the grants database, updating correspondence.
2. To provide administrative support for grant management and updating the database, including:
c. monitoring receipt of key information requested as required.
d. requesting bank details once a grant has been approved.
e. Handling incoming and expired pledges or outstanding correspondence.
f. Checking grant payment schedules when required.
g. Upload initial major grant enquiries to the database for review.
h. Handling change of circumstances e.g. change of use, extending grant period or dates.
i. Updating the database with trustee relationship flags and alerts.
j. Processing grant reports including scanning if required.

6. To provide administrative cover for other colleagues in the team on an ‘as needed’ basis, for example to cover annual leave, sickness, or other temporary absence
7. Running regular checks to ensure a smooth flow of grant processing, checking applicants have provided information requested e.g. reports and missing information.
8. Filing and archiving as needed.
9. Logging thank you notes received (picking out those of particular relevance to the Trustees and team).
10. Arranging complex visits involving more than one person from the Foundation or multiple organisations.
**Professional Skills, Knowledge, and Experience**
**Skills**
1. Well developed IT skills and high level of competency in using Microsoft office products including Excel, Word, Access and Project.
2. Able to enter and update data accurately within a database.
3. Excellent skills in producing, formatting, and managing electronic documents.
4. Able to take the initiative and anticipate the business requirements of senior Grants staff.
5. High degree of accuracy and attention to detail.
6. Able to work at pace, making pragmatic choices about where to direct time and resources.
7. Skills in working flexibly to support different pieces of work or multiple deadlines simultaneously.
8. Skills in systematic planning and organising to provide highly reliable and proactive support.
9. Advanced skills in meeting preparation and management, including minute-taking and follow actions or decisions.
**Experience**
1. Proven ability to provide effective and reliable administrative support.
2. Experience of working in a busy office environment and thinking and planning ahead.
3. Experience of working in a role that requires flexibility, meeting the needs of the team on a day to day and week to week basis.
4. Experience of using own initiative to ensure tasks get completed on time and to a high standard.
5. Extensive use of technology to improve process and efficiency.
**Job Types**: Full-time, Permanent
**Salary**: £35,000.00 per year
Schedule:
- 8 hour shift
- Monday to Friday
