This is an exciting time for an enthusiastic and highly motivated individual to join our Trust to undertake the role of Project Support Officer and be instrumental in helping to support building an improvement and Place partnership culture across our organisation.
This role will work across SWFT, providing project support for both the Service Improvement and Place Partnership teams whose work will enable delivery of our objectives.
The Project Support Officer - Improvement and Partnerships will be responsible for providing administrative support to the Improvement and Partnerships team for projects and programmes of work within their remit both internal and cross-organisational.
The Project Support Officer will support the Improvement and Partnerships team to ensure the projects are being supported and managed effectively and will assist in project/programme planning. They will act as a point of contact for enquiries from project leads, project teams and end users of the projects. They will need to use initiative to resolve day-to-day problems.
**This will require skills in**: Information management i.e. document tracking and reporting, maintaining, initiating, controlling and updating project documentation.
**Secretarial**: diary management of multiple diaries and minute taking skills at Project Board level, organising of scoping events and collating the information that is produced from them.

Main duties
Develop and hold master copies of all the Project information and ensure it is kept up to date including; Gantt charts, Structure Charts, Risk & Issue Registers, Project Initiation Documents and Project Highlight Reports
Provide administrative support to the Improvement and Partnerships team to assist them in meeting their reporting and other deadlines.
Provide support to Project Team meetings in terms of co-ordination, administration including arranging meetings, co-ordination of agenda, minute taking, commissioning and distributing papers following up of actions identified to ensure they are completed.
Maintaining a list of the Project’s Stakeholders and their interests.
Responsibility for event planning in relation to the Improvement and Partnerships team i.e. Workshops, Scoping events.
Provide reports, graphs etc. as requested from audits and data sets
Managerial Responsibilities
The Project Support Officer will have responsibility for sourcing, ordering and monitoring any items/equipment that may be required. This will include sourcing and booking venues, equipment and support materials required for events and workshops, this can be for events that are Warwickshire-wide as well as more locally run events
Communication & Relationship Skills
The post holder will have the responsibility for providing and receiving detailed, sensitive and potentially contentious documents that will need reviewing and validating. They will be privy to information of a sensitive nature linked to service changes and delivery.
The post holder will have to deal with staff and stakeholders at all levels including Project Boards, Project Teams external organisations, internal departments, so the ability to negotiate, persuade and motivate is key.
Part of the role will be to develop information for delivery to key groups, understanding the different audiences and the requirement to produce things in different formats and complexities to meet the needs of the required audience.
The post holder will attend some high level meetings in which the content can be of sensitive and confidential.
Analytical & Judgmental Skills
Required to cross reference documents to ensure that consistency is maintained and resolve issues identified using own initiative.
Required to review and respond where appropriate to queries that arise within projects, escalating and signposting where appropriate
Planning & Organisation Skills
Planning and coordinating events for large groups of people that include internal and external stakeholders, staff and patients.
