**ABOUT THE ROLE**

We are looking for a highly efficient, professional and proactive Administrator to join our busy, Administrative team. In this role you will provide comprehensive administrative support to the Education UK Oxford based Product teams to enable them to carry out their roles effectively.

The post-holder will need to be willing to engage with and help implement the introduction of new software and new or revised work processes with team members to assist the teams to meet the Divisional Mission and Strategic priorities.

Key duties include:

- Provide general administrative support to the UK Product team including managing supplies, circulating post, processing requisitions, retrieving contracts, and handling ad-hoc projects.
- Effective use of Outlook to coordinate meetings and events (with consideration of different time zones), manage travel arrangements, and oversee diaries and shared calendars. You may be asked to manage several diaries for key managers as well as team shared calendars.
- Attend meetings, produce and circulate accurate minutes, and follow up on action points with stakeholders.
- Manage and facilitate Education UK Product and Innovation Council meetings, including agenda preparation, documentation circulation, and minute-taking.
- Manage contracts and correspondence for authors and suppliers, handle publishing agreements and payments, and track data on spreadsheets.
- Management and prioritisation of own workload in a fast-paced department with shifting priorities, and where colleagues have busy schedules and are often in meetings or working away from the office. You must be able to work on your own initiative, and act as a key point of contact therefore alleviating management stretch and ensuring that critical tasks are completed on time.
- Support the Senior PA and Ed-UK Administration Manager in developing and reviewing administrative practices. You may also be asked tp provide holiday/sickness cover for this role as needed so will be required to communicate with all levels of staff within the UK Business, Education, Division, and across the Press. This may also include supporting the monthly Education UK Coffee Briefing as required.
- Build business knowledge to support the UK Product Administration Team and other colleagues across the Division.
- Liaising with IT and Facilities (when required) on behalf of the department and arranging the creation of user accounts and ordering any new or replacement kit as requested. Maintain Outlook distribution lists and SharePoint sites.
- Provide support and absence cover for the UK Product Administration team.

We operate a hybrid working policy that requires a minimum of 3 days per week in the Oxford office.

**ABOUT YOU**

The successful applicant will be well organised, competent in written and administrative tasks, and able to prioritize work. You will have confidence with IT systems, spreadsheets, and websites. Experience of working in an office environment is desirable.You would ideally have:

- Previous experience of providing a high level of administrative support
- Intermediate skills in using MS Office, particularly Word, Excel, PowerPoint, Outlook, Teams
- Ability to deal with multiple tasks and a complex workload
- Excellent organisational and time management skills
- Ability to show initiative with a pro-active and flexible approach
- Ability to work with a high level of independence
- Ability to problem-solve
- Excellent communication and interpersonal skills
- Excellent accuracy and attention to detail
- Thrives in a busy and fast-paced environment with a positive, can-do attitude
