**Job title: Receptionist**

**The main purpose of post**:
To provide an efficient reception and administration service to patients as well as support for clinicians, to enable the effective day to day running of the practice. To undertake clerical duties as necessary and to enter relevant data onto the computer system, working both on your own initiative and as part of a team. **You will be allocated a main surgery base though at times you may be required to work from one of our other Umbrella Practices for training and development or to cover annual leave and sickness.**

**Major duties and responsibilities of the post**:
**Reception**
- To ensure that patients and visitors are greeted professionally and courteously and directed to the appropriate services.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are followed.
- To watch out for discrepancies and where possible to deal with these promptly on arrival of a patient at reception.
- To direct and monitor flow of patients into consulting and treatment rooms, informing patients if there is going to be a delay to their appointment.
- Ensure that patients without appointments but who need 'urgent consultation' are seen by a Doctor, Advanced Nurse Practitioner or Clinical Pharmacist or signposted to the relevant external agencies.
- To answer telephone enquiries promptly and professionally in line with practice procedures.
- To act as chaperone within a clinical consultation when requested
- Ensure you have the correct up to date information for the patient (address, telephone numbers).
- To cancel appointments as and when required and relocate them i.e. sickness.

**Administration**
- To undertake and facilitate photocopying/faxing/scanning/laminating and filing in a timely and accurate manner.
- All requests for medical records should be dealt with in a timely and accurate manner and recorded appropriately.
- To be responsible for liaising with other agencies such as the ambulance service and community services including completing the appropriate forms and documenting in the patient's computerised medical records.
- To be aware and competent in booking interpreters for patients requiring this service and documenting it in the patients computerised records.
- Ensure medical students who are in clinical consultations have consent forms signed by the patients prior to entering the consultation.
- Advise patients of relevant charges for private services, accept payment and issue receipts.
- To advise patients that repeat prescriptions are given during consultation appointment with a doctor. Nevertheless, to understand the exceptions to this general rule as detailed in the written practice procedures regarding prescribing. Such prescriptions should be presented to the doctors, with the appropriate patient medical records, for checking and signature, so that prescriptions are ready for collection where possible within 72 hours.
- Where necessary, clear information should be left for incoming colleagues regarding unresolved or urgent problems.
- Ensure reception and waiting areas are kept neat and tidy and assist Reception Manager in ensuring all notice boards, literature and posters are up to date.
- To assist the Reception Manager as required, in ensuring the Registration Tab in EMIS is kept up to date (Unacknowledged acceptances, amendments, duplicate records that you cannot deal with).
- To check Workflow Manager and MJOG daily and act as required.
- To assist the Reception Manager in checking the weekly spread sheets to ensure District Nurse Bloods are completed.
- To assist the Reception Manager in checking the 8 week baby check spread sheet to ensure all baby checks are completed and respond to Child Health with the nurses’ paperwork and white sheets.
