**About the role**
This role is part of the business support team. The primary aim for the back-office support teams is to maximise chargeable work opportunities for fee earning staff.
The purpose of this role is to provide a professional and timely service, acting as first point of contact and offering administrative support across the company. This includes attending to visitors and dealing with enquiries both on the phone and face to face as well as coordinating administration duties.
**Main Responsibilities**:

- Being the first point of contact for administrative support for the whole company
- Answering the telephone in a polite, friendly and professional manner and managing the calls as necessary. This will include screening cold calls as well as transferring the calls and taking messages
- Meeting and greeting clients and visitors on their arrival, ensuring security passes are provided and providing refreshments
- Ensuring that the reception areas and meeting rooms are consistently maintained to a high standard
- Responsible for all incoming and outgoing mail
- Responsible for incoming and outgoing post, signing for incoming courier parcels, as well as safe and timely delivery of outgoing courier parcels
- Co-ordinating Microsoft Teams meetings and telephone conference calls for all offices
- Managing travel and accommodation requirements for all the offices, keeping records of all purchases made and obtaining relevant VAT receipts
- Providing administrative support as required, which will include (but is not limited to) filing, ordering stationery and office supplies, finance administration.
- Be the main point of contact for the hire vehicle contract account
- Diary management for directors as required
- To assist the Facilities Manager where required with day to day administration duties.
- Covid Marshall duties
- To carry out any additional activities that may be reasonably required or requested.
