Aspect Group Services Ltd are seeking a Contract Administrator to provide administrative support and coordination to a busy Commercial and Operational Team ensuring client, supplier and customer excellence. To support the teams with meeting the requirements of our quality, health, safety and environmental management systems, ensuring all processes and procedures are followed.
- Working alongside the commercial team to assist with the mobilisation of new contracts.
- Liaise with our Technical Manager / Surveyors to issue survey date letters ahead of site-specific surveys.
- Collate survey information, scan into contract folders ready for the commercial team to price the works.
- Obtain all necessary pre-start property information from clients/customers, monitor information and record ready for the commercial and operational team to review and use accordingly.
- Assemble on-site job packs including all necessary information to ensure all health and safety requirements are met in advance of site supervisors
- Assist with the production of health and safety documents and checklists.
- Provide cover for Project Co-ordinators during times of annual leave on live projects.
- Where required assist with the operational and commercial administration of a roofing repairs contract with the support of the operational and commercial teams.
- Manage our client portal platform to ensure it is up to date with all the latest project information for each of our clients.
- Proactively follow up on any outstanding documentation once works have been completed to allow for timely uploading onto client portal platforms e.g. Gas / Electrical certification, Consignment Waste Notes.
- Collate post-works completion pack information, scan into contract/ project directory, forward information for commercial processing within agreed timescales.
- General office duties
- Deal with inbound and outbound calls
- Carry out any filing, printing or photocopying where required.
- Provide administrational support to contracts, project staff, managers and the wider office.
- Competently be able to work on Microsoft systems e.g. Outlook/ Word/ Excel.
