**Purpose of the Role**
This is a key support role to the People Team. Whilst behind the scenes they will be maintaining our database and records, ensuring we remain GDPR compliant, our team members will know them for Sharing the Love, shouting about the Caribbean Good Times and making each individual feel part of the Bay.
Our aim is to Make People Happy This role ensures our people receive excellent service whatever the nature of their query.
***Summary of the Role**
The People Administrator is responsible for ensuring that any administration relating to core areas of the employee lifecycle are completed in a timely manner. This includes maintaining people processes and procedures library, organising and updating documents as required. Working alongside the People Team to ensure these processes and procedures are always followed.
This role involves handling data of a confidential nature, whether this is personal information or dealing with a sensitive issue raised by a team member; therefore, a professional and discreet approach is required.
The People Administrator will report into the People Partner.
**Key Responsibilities**
- **General Administration **- Producing letters in line with employee lifecycle needs as and when required (including promotion, pay increases, contracts, referencing) and preparing reports
- **Training**:
- Training course coordination, booking venue, managing attendance. Creating and issuing training files and materials
- **Internal queries** - Be first point of contact for the People Team, dealing with adhoc queries in a timely manner
- **Document Management **- Maintain all team member files on Polaris and Sharepoint ensuring these are stored and organised correctly in line with GDPR compliance.
- **Team and Company Data **- Remove and clear up data as/when required in line with company retention policies
- **Recognition **- Issue celebratory cards, ordering gifts for team members. Ensure birthdays and anniversaries are maintained in Head of People’s and teams diaries. Work alongside the People Advisor to deliver the Engagement plan
- **Mobile phones - **liaising with our mobile phone account holder, ordering kit and keeping a log
- **Timetastic - **overarching management of the system ‘superuser’
- **Rum, Reggae, Perks - **Ensure team have access to discount, and maintain benefits list and associated documentation i.e. Life Insurance
- **Notetaking **- At team meetings as well as sensitive meetings such as disciplinary hearings
- **People Team Support - **Schedule and arrange team meetings when required. Work with the Payroll and Training Co-Ordinator to ensure dates, diaries and schedules with Operations are aligned
- **Stationary/Stock Control **- Maintain good stock levels of all People Team collateral and office stationery
- **Teamwork - **Support project work and provide cover in periods of absence of the People Team Co-Ordinator’s
- **General Office Admin** - Key support to general office admin including all departments

- Excellent on a computer - with Microsoft Office skills, especially Excel with knowledge of aspects such as V-Look up, pivot tables etc

**Hours/Location**:
The role is based from our Bristol office and will require you to work from the office. At times you may be required to travel to our sites.
You will be required to work mainly Monday to Friday, there is a requirement of this role to work bank holidays. Hours of work are generally office-based hours, but it may include the occasional evening. Hours of work can vary from time to time to suit your needs and the business needs.
