Medical Receptionist

**Job summary**
Part time receptionist required for a GP practice in North Kensington, W10 for 29 hours per week.
Excellent communication skills and telephone manner is essential. Ability to work with other members of the team and computer literacy is critical. Previous general practice experience is desirable but not essential.
**Main duties of the job**
**SystmOne Practice**
To be the focal point of the surgery and to act as a liaison between patients, clinicians and other members of your practice team. Ensuring that the scanning of patient’s correspondence is kept up to date at all times. You are expected to be courteous to patients, particularly people with disabilities, elderly and people from the ethnic minority groups. **You must have experience working as a medical receptionist.**
**Reception Duties**:
1. Greet all patients on arrival.
2. Answer the telephone dealing with or redirecting enquiries.
3. Handle general enquiries referring where necessary.
4. Make new and follow-up appointments.
5. Accept messages for the Practice Nurse, GPs and other clinicians.
6. Record requests for repeat prescriptions.
7. Register new patients - following practice policy.
**Clerical Duties**:
1. Open mail and distribute as appropriate. Leave private, confidential and personal mail unopened.
2. Prepare computerised repeat prescriptions following practice protocol and set out for verification and signature of doctor.
3. File medical records, scan hospital reports and letters
4. Complete and enter on computer appropriate GMS3 (Temporary Services) forms and file until due for submission to Health Authority. Renew expired forms as necessary.
5. Maintain computer database.
6. Repair and maintain medical records.
7. Maintain supplies of stationery available in reception area.
8. Offer all services to patients including Minor ailment, extended opening hours and walk in centers as appropriate
9. Enter appropriate read codes as instructed by practice when entering certain data. For example, collection of repeat prescriptions.
10. Stamp pathology and all other forms, ensuring that there is enough supply of stationary in all consulting rooms.
11. Ensure that all clinic attendance appointments are confirmed prior to appointment date as per allocation of tasks.
12. Duty check lists to be maintained and followed and kept up to date.
13. Assist in the administration of the patient Choose & Book referral system.
14. Document management on SystmOne
**General Duties**:
1. Each morning, open premises, check heating and ventilation and restore telephone service.
2. Post mail as necessary.
3. Tea/coffee made by staff have to participate in washing up.
4. Tidy waiting room after each session.
5. Each evening, leave reception area tidy and ready for incoming colleagues. Leave information regarding unsolved or urgent problems in Message Book.
6. Check heating, set telephone transfer for out of hours service, set security alarm and lock up premises.
7. Undertake any other duties as agreed with the Partnership.
