Compliance and Administrative Assistant

Coordinate with dental staff to ensure efficient office operations and support in managing administrative tasks.
- Maintain accurate and up-to-date records, including patient information and financial transactions.
- Utilise dental practice management software to update patient records and perform administrative tasks efficiently.
- Assist in managing inventory, ordering office supplies, and maintaining an organized workspace.
- Organise outgoing expenses, such as tracking and processing invoices and reimbursements.
Compliance Management:
Familiarise yourself with and maintain knowledge of relevant dental regulations, guidelines, and best practices, including those set by the General Dental Council (GDC), National Health Service (NHS), and Care Quality Commission (CQC).
Ensure compliance with GDC standards, such as maintaining accurate patient records, adhering to ethical guidelines, and implementing appropriate infection control measures.
Assist in managing NHS-related compliance requirements, including patient eligibility, contract management, and submission of accurate claims and reports.
Support the implementation and maintenance of quality assurance processes to ensure adherence to clinical and operational standards set by the CQC.
Assist in conducting internal audits and risk assessments to identify areas for improvement and maintain compliance with GDC, NHS, and CQC standards.
Collaborate with the dental team to develop and update policies and procedures, ensuring they align with regulatory requirements.
Help train staff members on compliance-related matters, including GDC standards, NHS guidelines, and CQC expectations.
Communication and Teamwork:
Communicate effectively with patients, staff, and practice owners to provide excellent customer service and ensure a positive experience.
Collaborate with colleagues to streamline administrative processes, identify areas for improvement, and implement solutions.
Assist in coordinating and facilitating staff meetings, training sessions, and other practice-related events.
Qualifications and Skills:
- Proven experience in administrative support roles, preferably within a dental or healthcare setting.
- Exceptional organizational skills and attention to detail.
- Excellent verbal and written communication abilities.
- Ability to handle multiple tasks simultaneously and prioritize effectively.
- Proficient in using standard office software (e.g., Microsoft Office Suite).
- Discretion and professionalism when dealing with confidential patient information.
- A proactive attitude, problem-solving skills, and the ability to work both independently and as part of a team.
