Human Resources Assistant

Reporting to the UK Human Resources Business Partner you will be responsible for ensuring a high standard of HR administrative and project support services are provided in the UK to our fast-growing Energy Consultancy business.
The role requires the person to have high level of Excel and Word skills, be forward thinking and have the drive and desire to provide innovative solutions and embrace opportunities outside of the day to day operational workload.
The role is for a fixed term period of 12 - 14 months.
Key Responsibilities
Recruitment & Selection
- Support managers with recruitment, ensuring vacancy wording is appropriate and vacancies are advertised in the appropriate forums
- Ensure vacancies on website are correct and up to date
- Provide interview support where required
- Support HR Business Partners and hiring managers in responding to job applicants in a timely manner
- Assisting in supporting recruitment events and fairs
- Support managers with relevant salary information and work in line with Xodus Approval Matrix
- Raise and send all relevant offer and contractual paperwork and track responses and returns
- Request references for new joiners and track responses
- Provide assistance with visa, work permits and relocation
- Maintain employee personal files in line with employment legislation and GDPR
Employee Relations
- Support the Human Resources Business Partners in the delivery of advice on employee relations queries and administration
- Be the first point of contact for general HR enquiries
- Respond to HR queries in the general HR inbox in a timely manner
- Provide assistance by minute taking at formal HR meetings
- Letter template management updating documents in line with new legislation and Company updates
- Deal with offboarding of employees keeping relevant parties informed of exit of employee
- Support absence management processes alerting the HRBP where there any concerns
Talent Development
- Responsible for the administration booking training courses as directed by the Talent Development Business Partner
- Organise company’s HR induction
- Maintain records of mandatory training
Performance Management
- Inform line managers of end of employees’ probation period and send all relevant documents
- Have good understanding of performance review process to be able to support where required
Reward and Benefits
- Discuss and administer employees benefits upon completion of probation period
- Work as part of the HR Team in administering monthly payroll
- Administer changes to employees benefits i.e. upon promotion
- Ensure relevant data is updated in accordance to timelines i.e. pension contribution
- Support the Human Resources Business Partner in the administration of salary increases, promotions and bonuses
**Requirements**:
Professional Qualifications & Experience
- CIPD membership or working towards a recognized HR qualification desirable but not essential
- Experience of working in an HR environment is essential
Skills and Behaviours
- Willingness to get involved on projects outside day to day operational activities
- Be forward thinking and have a willingness to provide innovative solutions
- Have the ability to analyse information and provide input and considerations
- Strong administration skills, working in an HR environment, using an HR system
- Proficient use of all Microsoft programmes in particular Microsoft Word and Excel
- Basic understanding of employment law
- Ability to maintain a high level of confidentiality
- Good interpersonal and customer-facing skills
- Good communication skills, both written and verbal
