About the Opportunity
This role works in the Programme Management Office (PMO) Team within Assurance, Technology and Regulation (AT&R). It’s purpose is to provide an administrative service and support projects across the AT&R business unit, which covers a broad area of work. Some of the tasks the post holder may be required to undertake are detailed below.
Key Responsibilities:
- Provide project and administrative support to Project Teams by undertaking the following:
- Monitoring team shared mailboxes, recording documents in the project database and arranging onward distribution within teams.
- Checking documents, letters, reports are consistently presented in the company format, updating and reformatting where required.
- Provide support to collation, formatting and editorial checking of complex document deliverables.
- Provision of support to external safety committees, collating and issuing document packs to committee members on a monthly basis, to required timescales.
- Update project trackers for deliverables, maintain inventory of office equipment/assets.
- Issue of deliverables, via secure IT systems, to align with project milestones for delivery.
- Working alongside other admin support staff, provide administrative support to AT&R Managers as required (eg arranging meetings, diary support, taking notes at meetings and updating action trackers, monitoring security clearances, etc), ensuring office operational around core office hours and cover for other team members during periods of absence.
- Support the PMO in administration of Document Management Systems:
- Data Input - set up, maintain and manipulate data in databases and spreadsheets.
- Scanning/conversion of documents to pdf format.
- Acting as a local super user, adding users to the system, carrying out regular audits, and checking information.
- Assist with re-organisation of project archive
- Support the administration of a local IT system:
- Maintain list of system users.
- Co-ordinate annual refresher training.
- Support users in aspects of use of the system in accordance with the local operating procedures.
- Update local work instructions (QA procedure).
- Co-ordinate access to shared areas, reviewing access levels and coordinating reviews of data held.
- Co-ordinate updates to local Intranet pages and review content periodically to ensure the information is current.
**Here’s What You’ll Need**:
- Good organisational skills with the ability to work flexibly and prioritise workload effectively.
- Computer literate (proficient in the use of Microsoft Word, Excel, Powerpoint).
- Numerate - understanding of manipulating Excel spreadsheets and producing reports.
- Team player, the role needs to work closely with other PMO team members and project teams.
- Capable of dealing with problems in a practical manner with the ability to identify and implement solutions.
- Document control experience would be beneficial.
- Ability to obtain an SC security clearance. UK Citizenship.
- Flexible working arrangements may be considered.
