We are looking for a talented and energetic individual to be part of our dynamic and friendly team in the capacity of Wedding and Events Co-ordinator.

Poets House Hotel is a privately-owned beautiful 21 bedroomed hotel in the heart of Ely, Cambridgeshire.

Your role as Wedding and Events Co-ordinator will come with the following responsibilities:
Sales
- Perform all administrative duties (i.e. copying, typing & filing).
- Handle all documentation to be sent to clients.
- Handle all incoming telephone enquiries effectively.
- Input bookings and reservations into Rezlynx.
- To make sound decisions within parameters.
- Generate weekly sales reports as required.
- Assist with any other sales support projects & duties as requested.
- Perform reception duties in the absence of the receptionist.
- Comply with hotel and department policies and procedures at all times.

**Events**
- Handle all daily administrative requirements, telephone inquiries and customer visits for events and meeting business.
- To secure functions in the Rezlynx system and to finalize and updates computer entries and Event Orders through regular client contact.
- To ensure timely information flow by preparing accurate and thorough Event Orders with all key details.
- To welcome the event organizer to the hotel on the day of the event
- To ensure that all final planning information including final payment arrangements have been discussed with the Operations and the client.
- To ensure that the event is well underway with the effective completion of all planning details and last-minute requests of the client
- To assist the General Manager and Operations Manager in planning, pro-active/reactive selling and achieving the monthly and annual events budget goals.
- To maintain and update files of past key clients to nurture them for future business by contacting them regularly.
- To finalize and follow up all functions advance payment plans and to solve all guest complaints and/or billing complications following the event.
- To prepare professional and detailed proposals and contracts for all upcoming events.
- To work cooperatively and harmoniously with all team members.
- Carry out any other duties as and when assigned by the Management of the Hotel and department.

Functional Skills, Knowledge and Experience
- Previous experience in a similar role gained in a 4/5* environment is ideal but not essential
- Essential experience of Rezlynx or Opera / Microsoft office
- Professional & customer focused
- Excellent communication skills (verbal & written)
- Able to work within a team and on own initiative
- Takes ownership for his/her work

Social Skills and Experience

To possess the ability to communicate with guests and staff in order to project a positive image of the hotel. The ability to maintain hotel standards of work under pressure.
