As the Site Administrator, you will be responsible for supporting the Site Management Team along with Operational Lead South to ensure the smooth and professional management of our Bristol Depot daily.
First impressions matter, so we'd like our visitors and staff to be welcomed warmly onto the premises and looked after during their time at the company when dealing with any of the front of house team. You will be responsible for ensuring this function remainsefficient, cost effective and well presented during the working day.
**Main Responsibilities** **Reception Duties**
- Keeping the reception area in a presentable fashion at all times
- Welcoming visitors to our business and announcing them to their host
- Upholding the companies signing in policy and HSE guidelines for site visitors
- Offering a high level of customer service whilst visitors are in reception
- Guiding visitors to their meeting room and offering them self-service refreshments if their host hasn't yet arrived
- Providing Visitor and Staff ID passes as required
**Meeting room Duties**
- Booking meeting rooms
- Checking the use on a daily basis to ensure that meeting rooms are being utilised in the most effective way
- Ensuring meeting rooms are set up in advance of each meeting as necessary for the requestor and cleared down in time for the next meeting
- Reporting issues relating to any IT equipment or facilities matters
**Administration Duties**
- Raising and issuing PO's
- Ordering consumables as required for the business including kitchens, meeting rooms and reception.
- Putting up any Whistl posters as required
- Ordering taxis as required
- Maintaining and processing all staff/payroll records for the depot
- Support the recruitment of staff in liaison with the Depot Management team and approved recruitment agency/agencies
- Recording daily attendance, sickness, holidays, hours and overtime utilising the relevant paperwork, time and attendance (Kronos) and payroll systems (Northgate)
- Support the Depot Manager with depot cost management tracking weekly spends against forecast
- Support the Depot Management team with notetaking in any investigations or disciplinary meetings as requested
- Carry out any other clerical duties such as photocopying, writing letters, and filing as and when required
- Assist the Depot Management team with reasonable requests within capability
- Comply with all Heath, Safety and Environment Policies and other relevant regulations ensuring accurate recording and reporting

**Additional Information** This is a permanent contract 30 hours per week Monday to Friday 9am to 15:00pm.
