**Responsible to: Housing Services Manager**

**Shift Pattern**:9.00 am - 5.30 pm (37.5 hrs. per week)

**Purpose of the Post**:
The goal of this role is to liaise with the Housing Services Manager ensuring that any issues with projects post completion are addressed promptly. To manage, schedule, and purchase maintenance services and supplies for the organization. To organize and schedule maintenance contractors to perform the various duties required to keep maintenance operations running smoothly as well as schedule and manage their work orders. To manage the maintenance budget and handle payments for maintenance services and necessary equipment and supplies.

You will be required to support an in-house maintenance staff, providing administrative assistance to the manager. Tasks include managing work orders, communicating with tenants or departments regarding maintenance work needed, handling purchasing of supplies and materials, and working with outside vendors.

Key performance indicators include response time on work orders, budget management, and customer satisfaction.

To work within Aspects policies and procedures at all times and undertake any other tasks consistent with the objectives of this post, and commensurate with the grade.

**Responsibilities**
- Managing submitted work orders and communicate with internal departments.
- Handle purchasing of cleaning supplies, equipment, and other maintenance items while adhering to budget requirements
- Stay organized in businesses with robust PM schedules and continuous work requests
- Communicates clearly and often with contractors, tenants, maintenance staff, and managers
- Think ahead about tasks that must be completed next to provide exceptional administrative support
- Organize surveys, sub-contractors, and work closely with all departments.
- Order required materials to be ready on time for planned maintenance work and progress delivery
- Calculate prices for maintenance work
- Adhere to budget requirements in making purchasing decisions
- Record and investigate any complaints received from customers
- Plan and maintain the schedule in conjunction with the maintenance team and the manager
- Receive reactive maintenance jobs from residents (or our Departments) in relation to the accommodation and progress these through our job tracking software.
- Liaise with the property manager, contractors, residents and landlords to ensure all parties are kept fully up to date with the progress of maintenance jobs and cost approval is sought where appropriate
- Assist the property manager in preparing annual maintenance budgets for the developments we manage
- Liaise with other parties as required such as insurance companies, surveyors, building control / planning department
- Send invoices to landlords for organized maintenance/tests and follow up with a phone call if unpaid
- Plan and oversee all certificates & test activities.

**Job Types**: Full-time, Permanent

**Salary**: £12.00 per hour

Expected hours: 37.5 per week

**Experience**:

- Maintenance Coordination: 1 year (preferred)

- UK Diving License (preferred)
